Job Type: Full-Time

Job Summary:

Job Overview:

We are seeking a Documentation Executive to join our team, who will be responsible for managing and coordinating documentation tasks, ensuring compliance with company policies, and handling documentation processes across various portals, including the Government e-Marketplace (GEM) and other PSU portals. The ideal candidate will have experience in documentation, portal management, and strong organizational skills.


Key Responsibilities:

  • Documentation Management: Handle and maintain documentation for procurement processes, tenders, contracts, and other related documents, ensuring accuracy and compliance with company standards.
  • Portal Management: Manage and oversee the entry and updating of documents on various government portals, including the GEM Portal, and other PSU (Public Sector Undertaking) portals.
  • Tendering & Bid Submission: Assist in the preparation, submission, and follow-up of tenders and bids on GEM and other related PSU portals, ensuring deadlines and compliance requirements are met.

  • Document Compliance: Ensure all documentation is in line with legal, regulatory, and corporate standards.
  • Liaison with Internal Teams: Collaborate with internal teams (procurement, legal, finance, etc.) to ensure all necessary documents are compiled and submitted on time.
  • Record Keeping: Maintain an organized system for archiving and retrieving documents as per company policy.
  • Reporting: Generate and maintain reports related to documentation processes and portal activity.
  • Continuous Improvement: Identify opportunities to improve documentation processes, streamline portal operations, and reduce turnaround time for document submissions.

Skills & Qualifications:

  • Educational Qualification: A Bachelor's degree in any discipline (preferably in Commerce, Business Administration, or a related field).
  • Experience: Minimum of 2 years of relevant experience in documentation, with hands-on experience in using the GEM Portal and other PSU portals for tendering and procurement activities.
  • Technical Skills:
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
    • Familiarity with government and PSU portals (especially GEM Portal).
    • Basic knowledge of digital document management systems.
  • Attention to Detail: Strong attention to detail and accuracy in document preparation and submission.
  • Communication Skills: Excellent written and verbal communication skills.
  • Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Problem-Solving Skills: Ability to handle issues proactively and effectively resolve documentation challenges.
