Assistant Manager/Deputy Manager - Service Procurement

Position Summary

To manage and optimize procurement process for services across C&I function. The incumbent will play a critical role in driving efficient procurement, maintaining vendor relations, and ensuring seamless project execution through effective service procurement and coordination.

Key Roles & Responsibilities

Vendor Engagement & RFQ Management:

• Share Request for Quotation (RFQ) with vendors across C&I (Commercial & Industrial) for various service requirements.
  
• Collect and evaluate quotations from vendors, preparing a comparison statement to ensure competitive pricing and alignment with project specifications.
  
• Lead initial negotiations with vendors to secure favorable terms and conditions for services. Also savings over budget.

Budget vs Actual (NFA) Reporting:

• Prepare NFA (Budget vs Actual) reports for I&C projects after confirming service pricing.
  
• Provide detailed comparison analysis between the received quotations and actual expenditures, ensuring alignment with project budgets.

Creation of Service Purchase Orders (PO):

• Develop and manage all Service Purchase Orders (PO) for the C&I business function, ensuring accurate and timely processing of all service-related purchases.

• Coordinate with relevant teams to verify service requirements before creating POs. Create and manage Service Receipt Notes (SRN) for all services delivered under C&I, SRT, and SWP.

Site Visits for Project Support:

• Conduct site visits for C&I projects as needed, if any issues with the vendor.

• Collaborate with project teams to resolve any field-related issues with the vendor and ensure smooth project execution.

CTC (Cost to Complete) Provisions Reporting:

• Prepare and distribute a Weekly CTC Provisions Report that tracks and forecasts the cost to complete the projects.

• Ensure that all financial data regarding service procurement is accurately reported to stakeholders.

Leftover Inventory Management:

• Maintain and circulate the Leftover Inventory Sheet for all commissioned projects, ensuring accurate documentation of surplus materials and services for future use or proper disposal.

• Collaborate with procurement and project teams to manage inventory effectively.

Vendor Payment Coordination:

• Coordinate with the Finance department to ensure the timely payment of service-related vendors.

• Monitor payment schedules and resolve any delays or issues with payments to ensure uninterrupted service delivery.

Vendor Issue Resolution:

• Act as the primary point of contact for service vendors, addressing and resolving issues related to payments, purchase orders, invoicing, or any other procurement-related matters.
• Ensure that all vendor concerns are handled promptly and professionally to maintain strong vendor relationships and project timelines.

Experience

• Experience of 3-5 years in service procurement
• Experience in negotiation, contract formation and vendor management
• Experience in using Advanced Excel, MS Power Point, MS Word.
• Should have worked on SAP/ERP modules

Education Qualification / Additional Certifications

• Bachelors degree in engineering, renewable energy, or related fields
