We are seeking a detail-oriented and proactive Export/Import Documentation Specialist responsible for managing the end-to-end documentation process for international shipments. The role ensures timely, accurate, and compliant submission of documents while collaborating closely with stakeholders to maintain high-quality standards and meet service-level agreements (SLAs).
- Documentation Management:
- Prepare and submit export/import documentation in a timely and accurate manner to internal and external stakeholders.
- Adhere strictly to Internal Operating Procedures (IOPs) and ensure any deviations are reviewed and approved by stakeholders in advance.
- Data Accuracy and Compliance:
- Focus on maintaining the highest level of data quality to ensure compliance with regulatory and organizational standards.
- Ensure documentation aligns with SLA requirements, minimizing errors and delays in the shipment process.
- Process Expertise and Improvement:
- Stay up-to-date with the latest training and developments in processes and IOPs to ensure documentation remains compliant and efficient.
- Perform root cause analysis in case of escalations to identify and resolve issues effectively.
- Training and Knowledge Sharing:
- Assist in onboarding and training new hires, providing them with a comprehensive understanding of processes and standards.
- Share process insights and updates with team members to foster continuous improvement and adherence to best practices.
- Strong knowledge of export/import documentation requirements and industry regulations.
- Exceptional attention to detail with a commitment to accuracy and data integrity.
- Ability to manage multiple tasks and prioritize effectively under tight deadlines.
- Proficiency in using relevant systems and tools for documentation and data management.
- Excellent communication and coordination skills to interact with internal teams and external stakeholders.
- Problem-solving mindset with a focus on identifying root causes and implementing corrective actions.
- Willingness to continuously learn and adapt to process updates and industry changes.
