IT Asset /Vendor Coordinator

We are looking for an organized and proactive IT Asset / Vendor Coordinator to manage our IT assets, vendor relations, and software licenses. The ideal candidate will be responsible for ensuring effective management of IT hardware and software, maintaining compliance with vendor contracts, and overseeing the asset lifecycle. This position will also involve collaboration with infrastructure teams and providing detailed reporting on asset management and performance metrics.

Key Responsibilities:

• Operational and Strategic Management:
• Perform daily and long-term operational and strategic management of hardware and software.
• Ensure compliance with vendor contracts related to hardware assets and software licenses using software tools/Excel.
• Vendor Coordination:
• Coordinate with vendors to resolve IT infrastructure breakdowns and ensure prompt support.
• Manage vendor relationships to ensure timely procurement and maintenance of assets.
• Asset Management:
• Plan, monitor, and record hardware assets and software licenses, ensuring compliance with vendor contracts.
• Responsible for acquiring, maintaining, upgrading, and disposing of assets in line with the organizations asset management policies.
• Track the movement of assets from one location to another, following the IMAC process and asset management policies.
• CMDB and Reporting:
• Ensure effective management of the Configuration Management Database (CMDB), ensuring that the data is accurate and up-to-date.
• Generate and distribute key performance indicators (KPI) and metric reports as scheduled.
• Provide unscheduled reports as requested by management, including asset status, compliance reports, and trend analyses.
• Lifecycle Management:
• Manage the lifecycle of hardware and software models from their introduction to retirement, ensuring proper documentation and tracking.
• Monitor asset usage and ensure modifications, withdrawals, and additions are recorded accurately by the relevant teams.
• Collaboration and Documentation:
• Collaborate with infrastructure teams to identify and address trends in asset performance.
• Maintain documentation on asset and configuration management processes and procedures to ensure consistency and compliance.
• Establish and maintain reports on assets and Configuration Items (CIs), ensuring they are accurate and up-to-date.

Required Skills & Qualifications:

• Bachelor's degree in Information Technology, Business Administration, or related field.
• 2+ years of experience in IT asset management, vendor coordination, or a related role.
• Strong knowledge of asset management processes, IMAC (Install, Move, Add, Change), and software tools (Excel, Asset Management software, CMDB).
• Strong analytical skills and the ability to generate reports, perform trend analysis, and monitor asset performance.
• Excellent communication and vendor management skills.
• Experience in managing both hardware and software lifecycles.
• Strong organizational skills and attention to detail.
• Ability to work independently and collaboratively with cross-functional teams.

Desirable Skills:

• Experience with asset management tools and software.
• Knowledge of ITIL or similar IT service management frameworks.
• Ability to manage multiple priorities and deadlines.
