Job Description

Job Summary:

The Receptionist serves as the first point of contact for visitors and callers, providing exceptional customer service. This role involves managing front desk operations, answering phone calls, greeting visitors, scheduling appointments, and assisting with administrative tasks. The ideal candidate will be organized, professional, and friendly, with excellent communication skills.


Key Responsibilities:

  • Greeting Visitors:
    Welcome guests and clients with a warm, friendly demeanor. Ensure they are signed in and directed to the appropriate personnel or room.
  • Phone Management:
    Answer, screen, and forward phone calls to the correct department or individual. Take messages when necessary and ensure timely follow-up.
  • Appointment Scheduling:
    Manage calendars for appointments, meetings, and room bookings. Coordinate schedules for executives or managers as needed.
  • Mail and Deliveries:
    Sort and distribute incoming mail, packages, and other deliveries. Assist in outgoing mail as required.
  • Administrative Support:
    Provide administrative assistance to other departments, such as filing, photocopying, and document preparation.
  • Office Supplies Management:
    Maintain inventory of office supplies, ensuring that essential items are stocked. Place orders for new supplies as necessary.
  • Customer Service:
    Handle customer inquiries and complaints in a professional manner. Direct clients to the appropriate department or escalate issues when needed.
  • General Front Desk Operations:
    Keep the reception area tidy, organized, and stocked with necessary materials (e.g., brochures, magazines, office forms).

Skills and Qualifications:

  • Proven experience as a receptionist or in a similar customer service role.
  • Strong communication and interpersonal skills.
  • Professional and friendly appearance and attitude.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar software.
  • Ability to multitask and manage time effectively.
