I. Hiring specifications
Job Purpose:
We are seeking a highly organized, proactive, and professional Executive Assistant to support our Managing Director. The ideal candidate will be a strategic partner, capable of managing a wide range of administrative and executive support-related tasks. They must be able to work independently and possess a high level of confidentiality, efficiency, and attention to detail.
Role Expectations:
Administrative Support:
Manage the MDs calendar, schedule meetings, and coordinate appointments.
Handle travel arrangements, including booking flights, hotels, and transportation.
Prepare and edit correspondence, communications, presentations, and other documents.
Meetings Discussions
To facilitate meetings and discussions of the MD and / or on behalf of the MD ensuring adequate prior preparation of participants as well as follow-up on action points
Take detailed minutes during meetings and follow up on action items. To keep track of meetings / discussions and their action points and ensure coordination between individuals and teams participating in the meetings and discussions
To coordinate all meetings, discussion forums and client engagements on behalf of the MD that will include preparatory work, recording minutes and follow up action in all cases.
Project Management:
To be part of the project management office and follow up on progress with various stake holders
Track progress on strategic initiatives and provide updates.
Reporting structure: The candidate will report directly to the Managing Director
II. PEOPLE SPECIFICATIONS
Profile: Ideally ~
Minimum of 5 years of experience as an Executive Assistant or in a similar role
Proactive, independent mature professional with high level of ownership responsibility
Competent in project / program management; has a background in analysis and analytics
Requisites: Exposure working in a corporate or high-paced professional environment. Experience supporting C-suite executives or senior management.
