Job Description

Key Responsibilities:

  • Event Planning Support:
    • Assist event managers with logistical planning, including venue sourcing, vendor management, contract negotiation, and scheduling.
    • Create and maintain detailed event timelines, budgets, and checklists.
    • Manage attendee registration, ticketing, and RSVP tracking.
    • Coordinate catering, A/V equipment, transportation, and other event logistics.
  • Administrative Management:
    • Manage office operations, including maintaining filing systems, data entry, and record keeping.
    • Oversee administrative staff, assigning tasks and ensuring efficient workflow.
    • Handle communication with clients, including responding to inquiries, updating on event progress, and addressing concerns.
    • Prepare event documentation like contracts, proposals, invoices, and reports.
  • Budget Management:
    • Monitor event budgets, tracking expenses against allocated funds.
    • Identify cost-saving measures and manage vendor pricing.
    • Prepare financial reports for clients and management.
  • Communication and Collaboration:
    • Act as a central point of contact for internal and external stakeholders, including clients, vendors, and team members.
    • Facilitate effective communication between different departments and event teams.
    • Manage project management tools to keep everyone updated on event progress.

Required Skills:

  • Excellent organizational skills:Ability to manage multiple tasks and deadlines simultaneously with meticulous attention to detail.
  • Strong communication skills:Effective verbal and written communication to interact with clients, vendors, and internal teams.
  • Project management skills:Ability to plan, execute, and monitor events within budget and timeframe.
  • Technical proficiency:Familiarity with event management software, spreadsheets, and communication tools.
  • Customer service focus:Commitment to delivering excellent client service and resolving issues promptly.

Education and Experience:

  • Bachelor's degree in business administration, event management, or a related field.
  • Proven experience in an administrative role within the event industry.
  • Knowledge of local regulations and compliance requirements related to event planning.
