About the role

The incumbent plays a critical role in managing schedules, coordinating meetings, and handling communications with stakeholders. They ensure efficient time management by prioritizing and filtering correspondence. Key responsibilities include overseeing travel arrangements, preparing reports, maintaining records, and managing confidential information with discretion. They may also handle personal errands or household coordination as needed. This role ensures the Director can focus on strategic priorities without operational distractions.

Key Responsibilities

  • Scheduling, Maintaining & Co-ordination of Appointments, Calendar Management, VMS etc. with both internal and external stakeholders
  • Self-Correspondence including drafting letters (able to take the dictation)
  • Co-ordination with service providers – Telephone/IT/VMS/TCI/Garage etc.
  • Co-ordination of conference rooms, travel and stay arrangements
  • Co-ordination and follow-ups with cross functional departments
  • Handling department expenses, vendor payments & co-ordination with finance department
  • Filing & maintenance of department records
  • Oversee household staff, coordinate home maintenance, and manage personal schedules and activities for the promoters and directors.
  • Handle personal errands, appointments, and other non-business-related tasks as needed.
  • General correspondence and managing miscellaneous work on a day today basis
  • Supporting the Department/s team in their day-to-day activities including coordination and follow up with different functions and basic excel preparation

Who are we looking for?

Education:

  • Qualification in Secretarial Studies

Experience:

  • 2 - 4 years of relevant experience

Skills/ Knowledge Good to Have:

  • Strong communication skills, both written and spoken
  • Strong Stakeholder Management Skills
  • Excellent inter-personal skills
  • High energy, sincerity and keen willingness to learn
  • Basic MS Office knowledge (Particularly Excel, Word and PowerPoint)
  • Execution excellence, with end-to-end ownership
  • Ability to adapt and maintain flexibility in a dynamic work environment
  • Maturity and professionalism to effectively interact with promoters and senior leadership
