Role & responsibilities
Please find below the detailed Key Responsibility Areas (KRAs) for the HR Intern role in HR Operations:
1. Employee Records Management Maintain and regularly update employee databases, ensuring accuracy and confidentiality of personal and professional details. Assist in organizing employee files and records for smooth HR operations.
2. HR Documentation Support in drafting, preparing, and organizing HR-related documents, including offer letters, employment contracts, policy documents, and other compliance-related paperwork. Ensure all necessary documents are collected, verified, and stored securely.
3. Attendance & Leave Management Assist in tracking employee attendance and leave records, ensuring that leaves are recorded accurately in the system. Support in resolving any discrepancies related to attendance and leave policies.\
4. Onboarding & Offboarding Support Facilitate the onboarding process by coordinating with new hires, ensuring they receive and complete all necessary documentation. Assist in scheduling induction sessions and providing a seamless joining experience. Additionally, support in handling exit formalities, including clearance processes and exit interviews.
5. HR Compliance & Policy Adherence Ensure HR policies and procedures are being followed as per company guidelines. Assist in conducting compliance checks and audits to maintain adherence to labour laws and organizational policies.
6. Employee Engagement & Welfare Support in organizing employee engagement activities, including events, celebrations, and wellness programs, to foster a positive work environment. Gather feedback from employees on engagement initiatives and contribute to improving workplace culture.
7. HR Systems & Reporting – Assist in generating HR reports related to employee data, attendance, performance, and other key HR metrics. Support in handling HR software and tools for record-keeping and data analysis.
8. Talent Sourcing – Assist in identifying and attracting potential candidates through various recruitment channels, including job portals, social media platforms, professional networks, and employee referrals. Support in building a strong talent pipeline for current and future hiring need
9. Screening & Shortlisting – Review incoming resumes and applications, conduct initial screenings, and assess candidates based on job requirements. Shortlist suitable profiles and share them with the hiring team for further evaluation.
10. Interview Coordination – Schedule and coordinate interviews between shortlisted candidates and hiring managers. Ensure a smooth interview process by managing interview slots, sending calendar invites, and providing necessary details to both candidates and interviewers.
11. Follow-ups & Communication – Maintain regular and professional communication with candidates throughout the recruitment process. Provide updates regarding their application status, address any queries, and ensure a positive candidate experience.
12. Database Management – Maintain and update the candidate database with accurate and up-to-date information. Keep track of shortlisted, interviewed, and selected candidates for future reference and hiring needs.
13. Job Posting & Promotion – Assist in drafting and posting engaging job descriptions on various job portals, career websites, and social media platforms to attract potential candidates. Monitor application responses and optimize job postings for better reach.
14. Offer & Onboarding Support – Coordinate the offer rollout process by liaising with selected candidates and ensuring all pre-onboarding formalities, such as document collection and background verification, are completed in a timely manner. Support in ensuring a seamless onboarding experience for new hires.
