Job Description

The Document Specialist, with 3-5 years of experience, will bring proven skills in document management, formatting, and quality control to support and optimize the organization s documentation processes. This position plays a crucial role in ensuring the accuracy, consistency, and accessibility of all critical business documents, as well as upholding compliance with regulatory and organizational standards. Leveraging a few years of industry experience, the Document Specialist is expected to handle more complex documentation projects, contribute to system improvement initiatives, and provide guidance on best practices in documentation.
Key Responsibilities
  • Advanced Document Creation and Formatting
    • Utilize advanced skills in Microsoft Office, Google Workspace, or similar tools to create, format, and edit complex documents, presentations, and reports.
    • Ensure document templates adhere to company standards, and update these as needed to reflect evolving requirements.
  • Document Management and Organization
    • Oversee digital and physical document storage, version control, and archiving practices, ensuring efficient retrieval processes and secure access.
    • Manage document filing systems, identifying and implementing improvements to streamline document access for cross-departmental teams.
  • Compliance and Quality Assurance
    • Conduct quality reviews on all documents to ensure consistency, accuracy, and compliance with regulatory standards.
    • Collaborate with legal, finance, and operations departments to verify compliance requirements are met for industry-specific documentation.
  • Cross-Functional Collaboration and Support
    • Act as a resource for teams across the organization by providing document expertise and support, answering questions, and troubleshooting issues.
    • Participate in cross-functional projects, bringing a document management perspective to team initiatives and helping to establish best practices.
  • System Optimization and Process Improvement
    • Recommend and implement improvements to the document management system to enhance usability, reduce retrieval times, and improve security.
    • Generate reports on document processes and workflow efficiency and identify areas where document management practices can be refined.
Skills and Qualifications :
  • Experience : 3-5 years in document management, with proven experience in document quality control, formatting, and compliance.
  • Technical Proficiency : Expertise in Microsoft Office Suite, document management software (e.g., SharePoint, DocuWare), and other relevant tools.
  • Detail-Oriented : Excellent attention to detail, with a track record of producing accurate, high-quality documents.
  • Strong Communication : Skilled in written and verbal communication, capable of working with various departments to meet document needs.
  • Organizational Skills : Demonstrated ability to manage multiple projects simultaneously and meet deadlines.
