Job Description

Event Objectives

Objective 1:
Increase Awareness of TFGBV:
Build awareness among girls on TFGBV and encourage conversations & to participate actively in mitigating risks.

Objective 2:
Facilitate linkages to support services:
Signpost to our girl chatbot Bol Behen that has content around relationships and communication via physical handouts.

About the Event
This launch event will mark the beginning of the larger campaign around TFGBV in India. Through this event, we plan to:
  1. Educate through spoken word - Educate young women on the impact of TFGBV in the context of relationships and love under the campaign #SacchaPyaarKyaHaiYaar - this could include themes around online harassment, cyberbullying, privacy risks, and digital safety, mental health repercussions of TFGBV through spoken word
  2. Empower Through Spoken Word - Use spoken word poetry as a core medium to amplify the voices of young women and survivors of TFGBV, if any.
  3. Encourage Conversation - Create an interactive format within the event for students to engage and discuss experiences and challenges around the theme of #SacchaPyaarKyaHaiYaar in the context of TFGBV. This could also be activity-based and discreet vs publicly speaking.
  4. Enable a digital safe space - Create a leaflet for distribution to students at the event, sign-posting to the Bol Behen Chatbot, which has content around.
  5. Document & Amplify Impact - Capture event highlights through video production for further dissemination via digital and social platforms.
Target Audience
18-21 years old young college-going girls living in Mumbai, Maharashtra
Size of event/Total participants
We want the event to be attended by at least 800-1000 girls aged 18-21 years old.
  • Location: Mumbai, Maharashtra
  • Duration of the event: 5 - 6 hours
What You will do
You will be responsible for the end-to-end production and execution of the physical event, including but not limited to:
Logistics & Venue Requirements
  • Auditorium / Large Hall with stage setup
  • Sound & Lighting Equipment for spoken word performances
  • Projection Screen & AV Setup for presentations
  • Seating Arrangements for 800-1000 attendees
  • Security & Permission Handling with the college administration
  • On-ground volunteers to assist with event flow
Production of the Event
  1. Event Design: Activity Design, Event Flow, Activity Curation
  2. Stage Design & Branding (banners, standees, digital backdrops)
  3. Spoken Word Artist Curation & Rehearsals
  4. Technical Equipment Setup (mics, speakers, lighting)
  5. Content Creation (workshop materials, handouts)
  6. Event Management & Coordination (registration, logistics, refreshments)
Artist & Speaker Management
  1. Identifying, onboarding, contracting, managing and paying Spoken Word Artists (3-5 high-profile performers + student slots)
  2. Identifying, onboarding, contracting, managing and paying a Master of Ceremonies for the entire event
  3. Coordinating rehearsals and briefing with the internal GE team and artists/speakers
Filming & Content Production
  1. Event Highlights Video (3-5 mins) capturing performances, workshops, and testimonials.
  2. Short-form Social Media Clips for Instagram, Facebook, and YouTube
  3. Photography (portraits, panel discussions, interactive sessions)
  4. Post-event report with impact statistics and audience feedback
Necessary Permissions & Approvals
  1. Venue Booking & Administration Approval from the college
  2. Public Event NOCs (if required) from local authorities
  3. Photography & Videography Consent from participants
  4. Legal & Safety Clearances for workshop content
Deliverables
  • One fully curated 5-6 hours long event in a mid-tier Mumbai college for young girls and women with 800-1000 attendees
  • End-to-end design and production of the event as per GE India s Create team s vision with branding collaterals as needed as per the curation, which will include but not be limited to backdrops, handouts, standees, posters, flyers, digital backdrops, branding for activities and more.
  • 3-5 high-profile artists/speakers management
  • Venue Management
  • 2 event film (3-5 mins)
  • 20 reels/shorts (up to 1 minute long)
  • 50 fully edited and colour-corrected stills from the event
  • Media rights for the content performed during the event
  • Raw footage and project files

Who You Are Experience/Skills
  • Expertise in organizing various types of events, such as conferences and exhibitions that are community-led and/or participative events. Specifically dealing with themes of Gender and Sexuality.
  • A diverse clientele for different industries, such as corporate clients, non-profit organizations (preferred), government agencies, and private individuals.
  • Have produced events at different scales, ranging from small intimate gatherings to large-scale conferences or festivals.
  • Showcase unique event concepts, innovative ideas, and creative solutions implemented.
  • Provide key metrics, achievements, and success stories from past events.
  • Highlight the agencys team members, their experience, and expertise. Showcase their qualifications, certifications, and any notable industry affiliations.
  • Showcase the agencys ability to manage complex logistical aspects seamlessly.
  • If the agency has a focus on sustainability or social responsibility, highlight any events or initiatives that showcase their commitment to these values.
  • Strong event curation & production capabilities
  • Experience in working on gender-based projects
  • Knowledge of spoken word and youth engagement
  • Technical expertise in filming and content creation
  • Vendor & artist management skills
  • Capacity to handle college permissions and security
Expected Commitment
  • The event will take place in the 2nd week of March. (We would like this event to be curated in the 2nd or 3rd week of March).
  • The project is expected to take approximately 5 weeks.
  • The assignment period is from 26th February 2025 to 30th March 2025.
 
Proposal Submission Technical Proposal
