Position: Export Documentation Executive

Reporting To: Export Manager / Logistics Head

Job Summary:

We are looking for a detail-oriented and proactive Export Documentation Executive to manage air and sea cargo documentation efficiently. The ideal candidate should have experience in export procedures, customs clearance, shipping documentation, and coordination with freight forwarders, customs agents, and clients.

Key Responsibilities:

1. Export Documentation Management

• Prepare and verify export documents (Invoice, Packing List, Bill of Lading, Airway Bill, Certificate of Origin, etc.).
• Ensure compliance with customs regulations and international trade laws.
• Process Letter of Credit (LC) documents, bank negotiations, and shipping bill filings.
• Coordinate with freight forwarders, shipping lines, airlines, and customs brokers for smooth documentation flow.
• Manage export declarations, duty drawback, and DGFT documentation.

2. Customs & Regulatory Compliance

• Liaise with customs authorities for cargo clearance and resolve any discrepancies.
• Ensure adherence to government regulations, export incentives, and trade policies.
• Monitor HS codes, duty structures, and trade compliance for various export destinations.

3. Coordination & Communication

• Communicate with buyers, agents, and shipping companies to track shipments and documentation status.
• Maintain strong coordination with internal departments (sales, logistics, and accounts).
• Provide clients with real-time shipment updates and resolve documentation-related issues.

4. Shipment Tracking & Record Management

• Maintain accurate records of shipments, customs filings, and invoices.
• Track and update export shipment schedules and alert stakeholders about delays or issues.
• Ensure timely submission of export reports and MIS updates.

5. Process Optimization & Support

• Identify and implement best practices for efficient documentation processing.
• Stay updated with changes in international trade regulations, customs procedures, and documentation requirements.
• Support audit and compliance requirements related to exports.

Preferred Experience:

• 2-5 years of experience in export documentation (air & sea cargo).
• Experience in logistics, freight forwarding, or export-import companies is preferred.
