Job Description

Roles and Responsibilities

Customer Service:

Greet and welcome clients, visitors, and vendors in a professional and friendly manner.

Answer and direct phone calls, emails, and other inquiries promptly and accurately.

Provide information about the company's services, properties, and real estate market trends.


Administrative Support:

Manage and organize the front desk area, ensuring it is clean and presentable at all times.

Schedule and coordinate meetings, appointments, and property viewings for agents and clients.

Handle correspondence, including letters, emails, and packages, ensuring they reach the intended recipients.


Data Management:

Maintain and update databases and records, including client contact information and property listings.

Prepare and distribute reports, memos, and other documents as required.


Operational Tasks:

Assist in the preparation of marketing materials, brochures, and property listings.

Coordinate with maintenance and cleaning staff to ensure the office and property showrooms are in top condition.

Manage office supplies and inventory, placing orders as needed to ensure adequate stock.


Client Interaction:

Assist clients with completing forms and applications related to property transactions.

Provide preliminary information on available properties, schedule tours, and followcompany's up on inquiries.


Support to Real Estate Agents:

Provide administrative support to real estate agents, including preparing documents, contracts, and presentations.

Assist in organizing and hosting open houses and other promotional events.


Problem Solving:

Address and resolve any issues or complaints from clients, escalating them to the appropriate personnel when necessary.

Manage conflict resolution and ensure client satisfaction through effective communication and problem-solving skills.


Security and Compliance:

Monitor access to the office, ensuring only authorized individuals enter the premises.

Ensure compliance with company policies and real estate regulations in all tasks.


Technology Utilization:

Use office software and real estate management tools efficiently to perform daily tasks.

Update property listings on the company's website and other online platforms.


Coordination with Other Departments:

Liaise with other departments,company's such as marketing, finance, and legal, to ensure cohesive operations.

Coordinate with external vendors and service providers as needed.

A front desk executive in real estate is often the first point of contact for clients, making their role vital in creating a positive first impression and facilitating effective communication within the company.


Desired Candidate Profile

The candidate should have at least 1 year of experience of handling front office in real estate industry.
