Job Overview:
The Back Office Admin Support will be responsible for handling essential administrative tasks
to ensure smooth day-to-day operations of the startup. This role requires someone who is
highly organized, detail-oriented, and capable of multi-tasking. The ideal candidate will assist in
maintaining administrative records, managing office supplies, supporting team members, and
ensuring efficient processes are in place as the company grows.
Key Responsibilities:
1. Administrative Support:
o
Provide general administrative support to the team, including answering emails,
scheduling meetings, managing calendars, and preparing documents.
o
Handle data entry tasks and maintain accurate records in various systems
(CRM, HRM, etc.).
o
o
Organize and maintain physical and digital filing systems.
Coordinate travel arrangements and accommodation for team members.
2. Office Operations:
o
o
o
Ensure the office environment is organized and well-stocked with necessary
supplies.
Manage office equipment and ensure proper functioning (e.g., printers,
computers).
Assist with onboarding new employees and preparing their workstations.
3. Communication and Coordination:
o
o
o
Act as a liaison between different departments and ensure smooth
communication.
Coordinate meetings, handle internal and external communication, and prepare
reports as needed.
Maintain and update contact lists, schedules, and task trackers.
4. Financial Assistance:
o
Assist with basic bookkeeping tasks such as invoicing, tracking expenses, and
filing receipts.
o
Help with budgeting and preparing financial reports for the management team.
5. Data Management & Reporting:
o
o
Compile and organize data for various reports (sales, HR, operations).
Assist in creating presentations and reports for internal and external
stakeholders.
6. HR Support:
o
Help with recruitment tasks such as posting job openings, tracking candidates,
and scheduling interviews.
o
Maintain employee records and assist with payroll documentation.
7. Customer Support Assistance:
o
o
Assist with customer queries via email or phone.
Help maintain customer databases and order records.
Qualifications & Skills:

Educational Background:
o
Bachelorâs degree or equivalent in business administration, office management,
or related field (preferred but not required).

Experience:
o
1-2 years of experience in administrative support or office management, ideally
in a startup or fast-paced environment.
o
Experience with office software (e.g., Microsoft Office Suite, Google Workspace,
CRM systems).

Skills:

Strong organizational skills with the ability to prioritize tasks effectively.
Excellent communication skills (both written and verbal).
High attention to detail and ability to handle multiple tasks simultaneously.

Basic knowledge of financial processes and tools.
