Job Overview:

The Assistant Manager, Trace & Trace (B2C Operations), is responsible for overseeing the tracking, tracing, and monitoring of shipments in a direct-to-consumer (B2C) environment. This role ensures timely and accurate delivery of products to consumers, manages the flow of order fulfilment data, and handles any traceability-related issues to ensure a seamless customer experience. The Assistant Manager will also play a key role in improving traceability systems, collaborating across teams to ensure high standards of operational efficiency, and managing COD (Cash on Delivery) closure processes to ensure proper reconciliation of payments.

Key Responsibilities:

1. Order Tracking & Monitoring:
• Oversee the tracking and tracing of customer orders from order creation to final delivery, ensuring all shipments are accurately accounted for and delivered on time.
• Manage the end-to-end visibility of shipments, identifying and resolving any delays, discrepancies, or issues.
• Use and maintain tracking systems to monitor shipping status, handle branch inquiries, and ensure that orders are delivered in line with expected timeframes.
2. COD Closure & Reconciliation:
• Ensure the timely and accurate reconciliation of COD (Cash on Delivery) payments after order deliveries.
• Work closely with the CORP Operations team to ensure COD payments are properly recorded and closure is processed without discrepancies.
• Monitor and follow up on pending COD closures and resolve any payment-related issues promptly.
• Prepare COD reports, track payments, and ensure accurate closure for all COD transactions.
• Collaborate with delivery agents or third-party logistics (3PL) providers to ensure COD payments are collected and processed according to the company's policies.
3. Data Accuracy & System Maintenance:
• Ensure the accuracy of all tracking data and ensure that updates are logged in the system in real time.
• Support in the management and continuous improvement of B2C traceability systems, including software tools and platforms that track products from warehouse to the end customer.
• Maintain detailed and accurate records of all traceability-related data, providing reports as needed for analysis and decision-making.
4. Collaboration & Stakeholder Management:
• Coordinate with internal teams (e.g., Logistics, Warehouse, IT, and Customer Service) to ensure traceability systems are functioning properly and orders are processed efficiently.
• Work closely with third-party logistics providers (3PLs) and delivery carriers to ensure accurate tracking information is provided and to resolve any shipping issues promptly.
5. Reporting & Analytics:
• Monitor key performance indicators (KPIs) related to B2C order traceability, including on-time delivery, order accuracy, COD closure rates, and customer satisfaction.
• Prepare regular reports on traceability performance, providing insights and recommendations for process improvements.
• Analyze data to identify opportunities to streamline the traceability process and reduce operational inefficiencies.
6. Compliance & Quality Assurance:
• Ensure all traceability processes adhere to company policies, industry standards, and regulatory requirements.
• Participate in audits and quality assurance reviews to ensure traceability systems and processes meet compliance standards.

Qualifications:

• Education:
• Bachelors degree in Supply Chain Management, Business Administration, Logistics, or a related field. OR Any other.
• Experience:
• 3+ years of experience in B2C operations, logistics, supply chain management, or traceability.
• Prior experience working with order management systems, tracking platforms, or customer fulfilment operations.
• Experience handling COD (Cash on Delivery) processes and payment reconciliation is preferred.
• Experience in problem-solving within the context of customer-facing supply chain operations.
• Skills:
• Strong knowledge of B2C operations, including order fulfilment and delivery systems.
• Proficiency in using traceability tools or software.
• Strong analytical and data management skills with the ability to interpret traceability data and derive actionable insights.
• Excellent written and verbal communication skills for internal coordination and customer interaction.
• Detail-oriented with strong organizational skills.
• Proficiency in Microsoft Excel (advanced functions, pivot tables, etc.) and other data analysis tools.
