For our office in Trivandrum dSPACE is looking for an enthusiastic and motivated professionals. We are offering a position, as a Front office Executive where you will play a crucial role in orchestrating the daily operations of the front desk, ensuring a positive guest experience and facilitating collaboration between departments.


Your Tasks:

We are looking for an Executive Assistant cum Front office Executive to help with administrative tasks such as greet our guests, scheduling appointments, handle queries and complaints. You will also be required to take on facility management activities and also clerical tasks such as receiving packages, sorting emails, and keeping an inventory of office supplies/logistics/stationaries. Your contribution will help increase the efficiency of the office workflow.


  • Assist the management with administrative tasks such as managing their calendar, organizing meetings, and arranging travel plans.
  • Support in preparing, editing, and formatting documents, reports, presentations, and documenting summary of the meetings.
  • Organize internal and external meetings, ensuring agendas are set and all necessary materials are prepared in advance.
  • Monitor and manage action items and deadlines, ensuring timely follow-ups on behalf of the management.
  • Welcome and assist guests, ensuring a professional and pleasant experience and manage front desk operations, including receiving and directing visitors appropriately.
  • Ensuring compliance with quality management policies and objectives.
  • Oversee housekeeping activities and the general upkeep of the office space, including cleanliness, maintenance, and organization.
  • Ensure timely and accurate execution of administrative duties, including procurement, distribution and tracking of office supplies and equipment.

Your Qualifications:

  • Any bachelors degree.
  • Minimum 2 years experience in a similar role
  • Prior experience in Executive Assistance, front office management or relevant position
  • Excellent Written and verbal communication skills
  • Friendly and professional demeanor with exceptional interpersonal skills
  • Advanced Microsoft Office skills
  • Problem-solving skills with multi-tasking abilities
