The Executive Assistant to the COO is a pivotal role within our organization, responsible for efficiently managing the administrative and operational functions that enable the COO to focus on strategic initiatives and key business priorities. The successful candidate will possess exceptional organizational skills, strong attention to detail, and the ability to anticipate the needs of the COO, ensuring seamless day-to-day operations and facilitating effective communication across all levels of the organization.
Duties and Responsibilities
1. Calendar and Schedule Management: Coordinate and prioritize the COOs calendar, including scheduling meetings, appointments, and travel arrangements, while effectively managing conflicting priorities and ensuring timely attendance to all engagements. 2. Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, screen incoming calls and correspondence, and respond to inquiries on behalf of the COO with professionalism and discretion. 3. Meeting Coordination and Preparation: Plan, organize, and facilitate meetings, including preparing agendas, distributing materials, and recording minutes to ensure efficient decision-making and follow-up on action items. 4. Document Management: Maintain an organized system for managing documents, files, and records related to the COOs activities, ensuring confidentiality and accessibility as needed. 5. Information Synthesis and Reporting: Conduct research, gather data, and compile reports or presentations for the COO on various topics, including market trends, performance metrics, and strategic initiatives, to support informed decision-making. 6. Project Support: Assist the COO in managing key projects and initiatives by tracking progress, coordinating resources, and providing administrative support to ensure timely completion and alignment with business objectives. 7. Relationship Building: Cultivate positive relationships with internal teams, external partners, and other stakeholders on behalf of the COO, fostering collaboration and effective communication to drive organizational success. 8. Administrative Support: Provide general administrative assistance, such as managing expenses, processing invoices, and handling other ad hoc tasks, to streamline operations and optimize the COOs productivity.
Experience and qualifications required for the job
Bachelors degree in Business Administration, Management, or a related field preferred with proven experience 02 - 04 years as an Executive Assistant or similar role.
