Key Responsibilities:
Front Desk Management:
Greet and welcome visitors, clients, and employees in a friendly and professional manner.
Answer phone calls promptly, direct them to the appropriate department or individual, and take messages when necessary.
Maintain a clean, organized, and welcoming reception area.
Ensure visitors sign in and are properly directed to their meeting or destination.
Manage guest access and issue visitor passes as required.
Administrative Support:
Handle incoming and outgoing mail, packages, and deliveries.
Schedule appointments and meetings, ensuring all relevant parties are informed and prepared.
Coordinate with various departments for meeting room bookings, equipment setups, and catering services as needed.
Perform general administrative duties such as filing, data entry, photocopying, and document preparation.
Customer Service:
Assist clients and visitors with inquiries, providing information about the company or office services as needed.
Address and resolve any minor customer complaints or concerns professionally and promptly.
Maintain a positive image of the company through exceptional customer service.
Office Coordination:
Ensure the reception area is adequately stocked with necessary supplies (e.g., office stationery, brochures).
Coordinate office maintenance services for issues such as cleaning, repair requests, or equipment malfunctions.
Assist with travel arrangements and accommodations for staff or visitors as required.
Communication:
Effectively communicate important information to employees and management as needed.
Handle incoming faxes, emails, or other communications and direct them accordingly.
