Job Description

Role & responsibilities

Office Management

  • Ensure that the office is well cleaned and presentable at all times.
  • Taking care of all security related complaints & escalations.
  • Ensure maintenance of security gadgets and systems, timely checking of recording, back-up
  • Solve staff complaints related to office maintenance. Attend to employee inquiries, concerns and grievances and provide necessary assistance and action to solve matters.
  • Keep track on electrician, plumber, carpenter for any repair work in the premises.
  • Checking and processing of office Maintenance and Electricity bills to Administrative Deptt and coordinate for their timely payment
  • Responsible for overall working of the Pantry. Ensuring that stock is maintained for basic food items like sugar, tea, coffee, biscuits etc. Ordering the same in case of shortages.
  • Issuing and maintaining the record of office items such as Laptop, Camera, Office Stamps, Headphones, and Projector etc.
  • Procurement of stationary items as and when required by the staff.
  • Assist the staff members during their requirement for photocopy, binding of documents, packaging and sending them for air cargo and courier.
  • Prepare and maintain approved vendor list from which purchases have to be made.
  • Inviting and checking Quotations for any requirement in the company and get approval of quotations from the Directors.
  • Preparing and issuing of purchase orders.
  • Administer and control budget for equipment and supplies.
  • Repair and maintenance of official vehicles through authorized service center.
  • Maintenance of Printing Machine, computers, and all type of hardwares in the organization.
  • Call an approved Computer Maintenance Company in case any computer related problem occurs.
  • Check the bills of Water Supply and Tea supply at the end of the month.
  • Coordinate with Staff members staying late and arrange for
  • Drop facility for the female staff
  • Snacks and dinner for the staff members.

Travel Management

  • Book train tickets/ Air tickets, hiring taxies, pickups, and Accommodation for employees, Guest and other stake holders.
  • Domestic & International Ticketing, Visa processing, Forex, Travel insurance, Guest House, Hotel booking etc
  • Travel management of all staff during official tours.
  • Event Management
  • Banking- Opening and closing of Salary accounts of staff members, Bank work
  • Bill Follow up, preparation of bills , fill follow-up with client and vendors.

Preferred candidate profile

a) Good Software Skills

b) Communication Skills -Written/Verbal/Dispatching

c) Graduate/Post Graduate with Min 2 Years of experience

d) Billing Experience
