Job Description


Job Summary:


We are seeking a highly organized and dynamic Admin Executive to join our team. This role is essential in providing efficient administrative support to the team, ensuring smooth office operations, managing day-to-day administrative tasks, and supporting staff and management in various functions. The ideal candidate will be proactive, adaptable, and able to manage multiple responsibilities in a fast-paced environment.


Responsibilities:


  • Office Management: Manage day-to-day office operations, maintain office cleanliness and organization, and ensure all administrative functions run smoothly.
  • Document & Filing Systems: Organize and maintain electronic and physical filing systems, ensuring that records are organized, accurate, and compliant with regulations.
  • Scheduling & Coordination: Coordinate meetings, appointments, and schedules for management and staff, and prepare agendas for meetings.
  • Communication Management: Handle incoming and outgoing communications, including emails, phone calls, and correspondence, ensuring effective communication within the office.
  • Report & Presentation Preparation: Prepare reports, presentations, and other documents as needed for meetings and management review.
  • Event & Travel Coordination: Assist in organizing company events, meetings, conferences, and travel arrangements, including accommodations and itineraries.
  • Procurement & Inventory Management: Manage office supplies and equipment, track inventory, and handle purchasing processes.
  • Visitor & Client Relations: Act as a point of contact for visitors, clients, and external parties, ensuring a professional and welcoming environment.
  • Budget & Expense Management: Assist in managing office budgets and tracking office expenses, including handling petty cash.
  • General Administrative Support: Provide overall administrative support to HR, Finance, and Operations teams, ensuring timely completion of tasks.
  • Additional Administrative Tasks: Perform other administrative duties as required by the team.

Qualifications:


  • Any Bachelors degree.
  • 3+ years of experience in administration and front office handling.
  • Strong hands-on experience with office management procedures and accounting principles.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.

Technical Skills:


  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with communication tools (e.g., Zoom, Microsoft Teams).

Working Conditions:


  • Regular day or afternoon shifts (as per business requirements).
  • Coimbatore-based candidates only.
  • Occasional extension of work hours or weekend work may be required to accommodate client visits.
