Position Overview
We are seeking a highly skilled and experienced Personal Assistant cum Secretary for our Managing Director (MD). We are one of the leading Infrastructure development and Construction Company. The ideal candidate will have a minimum 05 years of experience in a similar role, possess any Bachelor's degree, Engineering - BE/B.Tech (Preferred) with Secretary Diploma (Added Advantage). This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Administrative Support: Provide comprehensive administrative support to the MD, including Personal Assistance, managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication Management: Act as the primary point of contact between the MD and internal/external stakeholders. Handle correspondence, prepare reports, and draft communications as needed.
- Meeting Coordination: Organize and prepare agendas for meetings, take minutes, and follow up on action items to ensure timely completion.
- Document Management: Maintain an organized filing system for important documents, contracts, and reports. Ensure confidentiality and security of sensitive information.
- Project Assistance: Assist the MD with special projects as required, conducting research and compiling data to support decision-making processes.
- Office Management: Oversee office supplies inventory, liaise with vendors, and ensure that the office operates smoothly.
- Event Planning: Coordinate company events, conferences, and team-building activities as directed by the MD.
Qualifications
- Education: Any Bachelors degree, Engineering - BE/B.Tech (Preferred) from a recognized institution.
- Certification: Diploma in Secretarial Studies or equivalent qualification is preferred.
- Experience: Minimum of 05 years of experience as a secretary or in an administrative role supporting senior management, previous experience in Infrastructure and construction Company shall be preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Familiarity with project management tools is a plus.
- Communication Skills: Excellent verbal and written communication skills. Ability to interact professionally with all levels of staff and external contacts.
- Organizational Skills: Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Discretion: High level of integrity and discretion in handling confidential information.
