AM - Purchase/ Procurement (Supply Chain)

Job Summary:

The Procurement Assistance Manager supports the procurement department by ensuring that purchasing activities are carried out efficiently, cost-effectively, and in alignment with the company's policies and objectives. This role involves overseeing vendor management, assisting with contract negotiations, managing procurement processes, and working to optimize supply chain operations.

Key Responsibilities:

1. Vendor Management:

• Assist in identifying and evaluating potential suppliers and vendors.
• Maintain strong relationships with current and new suppliers to ensure reliable delivery of products and services.
• Monitor vendor performance, addressing issues related to quality, delivery, or pricing.

2. Procurement Process Support:

• Assist in managing end-to-end procurement activities, including requisition, order placement, delivery tracking, and invoice management.
• Ensure that all procurement activities comply with organizational policies
• Support the preparation of Request for Quotations (RFQs) and negotiate with vendors to secure favourable terms and pricing.

3. Contract Management:

• Help with the drafting, review, and execution of contracts with suppliers, ensuring compliance with terms and conditions.
• Track contract deadlines, renewals, and modifications to prevent service interruptions or legal issues.

4. Budget and Cost Control:

• Monitor procurement spending and ensure adherence to the allocated budget.
• Assist in identifying cost-saving opportunities through negotiations, bulk purchasing, or alternative suppliers.
• Generate reports on procurement activities and expenditure for management review.

5. Data Analysis and Reporting:

• Collect, analyze, and maintain procurement data to identify trends, inefficiencies, or cost-saving opportunities.
• Prepare regular reports and presentations to communicate procurement performance and status updates to senior management.

6. Inventory and Supply Chain Coordination:

• Collaborate with inventory management and supply chain teams to ensure adequate stock levels are maintained.
• Address supply shortages or delays and work to resolve issues quickly.

7. Team Collaboration and Training:

• Work closely with internal departments such as finance to ensure that procurement activities support operational needs.

Qualifications:

• Education: A bachelor's degree in Business Administration, Supply Chain Management, or a related field is added advantage.
• Experience:
• 3-5 years of experience in procurement or supply chain management.
• Previous experience with vendor management, contract negotiation is desirable.
• Skills:
• Strong negotiation and communication skills.
• Proficiency in procurement software and Microsoft Office (Excel, Word, PowerPoint).
• Knowledge of procurement policies, procedures, and regulations.
