Title: Accounts Payable Specialist (Utilities, Rent, and Allowances)

Job Description:

Key Responsibilities:

1. Invoice Processing: Review, code, and process invoices for utilities, rent, and allowances in a timely and accurate manner. Ensure adherence to company policies and procedures, as well as compliance with relevant regulations.

2. Vendor Management: Establish and maintain positive relationships with vendors. Communicate effectively regarding invoice discrepancies, payment inquiries, and other related matters.

3. Expense Tracking: Monitor and track expenses related to utilities, rent, and allowances. Prepare reports as needed to provide insights into spending patterns and trends.

4. Reconciliation: Perform monthly reconciliation of accounts payable related to utilities, rent, and allowances. Identify and resolve discrepancies in a timely manner.

5. Payment Processing: Coordinate with the finance team to ensure timely and accurate payment of invoices. Process payments via check, electronic funds transfer, or other approved methods.

6. Documentation and Record-Keeping: Maintain accurate and organized records of invoices, payments, and related documentation. Ensure compliance with record-keeping requirements and facilitate audits as necessary.

7. Process Improvement: Identify opportunities to streamline processes, improve efficiency, and enhance controls within the accounts payable function.

8. Compliance: Stay informed about relevant laws, regulations, and best practices related to accounts payable, utilities, rent, and allowances. Ensure compliance with internal policies and external requirements.
