Job Description

Role & responsibilities


Insurance:

  • Sending the Addition & Deletion details to Insurer every month of 7th
  • "Rolling out the webinar details to all the employees covered in the Insurance, sent by the insurer"
  • "Make note of the correction details if any like Name, DOB and it send to the insurer"
  • If any claims issue, need to follow-up with the concerned spoc and get it rectified.

Statutory and Compliances:

  • Review and get the necessary renewals for Vendors as and when required
  • Connect with Statutory and Compliance Consultants when necessary
  • Annual returns
  • Sending details of new joiner for PF and ESIC
  • Payroll inputs to be shared by 5th of every month for all 3 (BOIPL, IOC, Imeddoc) entities
  • PF issues and queries to be coordinated with consultants
  • Death claim issues to be coordinated with consultants.

Vendor management:

  • Sending the comparative quotes to the CEO and getting the Approval
  • Raising the PO by sharing the details with finance team and attaching the approval email
  • If invoice value is more than 10000, PO should be compulsory raised
  • Sharing the NDA and Vendor Registration form
  • With Vendor Registration need to get the vendor GST certificate
  • Updating the list of the Supplier, if any new vendor added
  • Quarterly basis need to do Supplier rating, based on their service they provide and add the remarks

AMC:

  • Maintaining the AMC tracker for the (CCTV, AC, Biometric, UPS, Pest)
  • Sharing the comparative quotes with the CEO and getting the Approval
  • Raising the PO and getting the all the AMC Agreement and NDA signed
  • Following upon the quarterly visit as per AMC Agreement Invoices/Petty Cash/Credit Card:
  • On end of the monthly following up for the Invoices from our (Food, Tea, Statutory, POSH, Security, HK) Vendors
  • Taking CEO approval and sharing with the finance team
  • Sharing all the Credit Card Invoices to the finance team based on the approval payment done
  • "Based on the approval, withdrawn the cash and sharing the petty cash description
  • details with the finance team"
  • If any other Invoices payment, there should be proper approval mail from the CEO
