Job Description: Front Desk Executive

Position Title: Front Desk Executive & Travel Management

Department: Administration / Operations
Location: Andheri
Job Type: Full-Time

Job Overview:

The Front Desk Executive & Travel Management will be responsible for overseeing all front desk operations and assisting with travel arrangements for staff and guests. This role combines excellent customer service and organizational skills with the ability to manage the logistics of business travel. The individual will be the first point of contact for visitors, providing a warm welcome and ensuring a smooth and efficient reception experience, while also managing travel booking, itineraries, and coordination.

Key Responsibilities:

Front Desk Duties:

  1. Reception & Visitor Management:
    • Greet visitors and guests in a friendly and professional manner.
    • Verify visitor identification and direct them to the appropriate personnel.
    • Answer, screen, and direct phone calls in a polite and efficient manner.
    • Manage the front desk email inbox and direct inquiries to relevant departments.
    • Maintain a neat and organized front desk area.
  2. Mail & Package Handling:
    • Receive and distribute incoming mail and packages.
    • Ensure outgoing mail and couriers are processed in a timely manner.
  3. Administrative Support:
    • Assist in scheduling meetings, appointments, and conference room bookings.
    • Maintain records of office visitors, guests, and external vendors.
    • Coordinate and provide logistical support for internal events or meetings.
    • Assist with general office management and clerical duties as needed.
  4. Customer Service:
    • Provide exceptional customer service to visitors, clients, and staff.
    • Address and resolve complaints or issues promptly, escalating when necessary.

Travel Management:

  1. Travel Coordination:
    • Book and arrange domestic and international travel for employees, ensuring cost-effective and efficient travel options.
    • Coordinate accommodations (hotels, flights, transport) and communicate itinerary details to travelers.
    • Provide travelers with necessary documents such as flight tickets, hotel confirmations, and travel itineraries.
  2. Travel Expense Management:
    • Ensure compliance with the companys travel policies and guidelines.
    • Track and reconcile travel expenses, ensuring proper documentation and approvals are in place.
    • Assist with the preparation and submission of travel expense reports.
  3. Vendor Relationships:
    • Liaise with travel agencies, hotels, airlines, and other service providers to secure the best rates and services.
    • Build and maintain relationships with key travel partners to negotiate discounts and improve service quality.
  4. Emergency Travel Assistance:
    • Provide support for employees in case of travel disruptions, delays, or emergencies.
    • Assist with re-booking travel plans and provide alternative options if needed.
  5. Travel Policy Development:
    • Assist in the development and update of the companys travel policy.
    • Ensure that the travel policy is communicated effectively to employees and adhered to during travel arrangements.

Qualifications & Skills:

  • Education: Bachelor's degree or equivalent work experience.
  • Experience: 3-8 years of experience in a front desk, administrative, or travel coordination role.
  • Skills:
    • Exceptional communication and interpersonal skills.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
    • Strong organizational and multitasking abilities.
    • Attention to detail and ability to work under pressure.
    • Knowledge of travel booking systems and online travel agencies (e.g., Expedia, Concur, Booking.com).
    • Ability to handle sensitive information and maintain confidentiality.
    • Customer-focused with a positive attitude and a willingness to help.
  • Personal Attributes:
    • Excellent time management and prioritization skills.
    • Ability to work independently and as part of a team.
    • High level of professionalism and discretion.

Working Hours:

  • Typically, Monday to Saturday, 8:30 AM 5:30 PM
