Job Description

Job Title: Outlet Supervisor

Location: Bangalore


Company Overview:

Our outlets serve as the face of our brand, and we are seeking a dedicated Outlet Supervisor to ensure smooth, efficient operations across multiple locations.

Position Summary:

The Outlet Supervisor oversees daily operations, staff management, inventory control, logistics coordination, menu integrations (both online and offline), and compliance documentation across multiple ice cream outlets. This role is crucial in maintaining product quality, upholding hygiene standards, ensuring accurate and timely delivery of products, and managing all aspects of menu listings (including GST compliance and POS integration). The ideal candidate has strong organizational skills, leadership abilities, a keen eye for detail, and a proactive approach to regulatory compliance.

Key Responsibilities:

  • Operations & Compliance:
  • Monitor day-to-day activities at multiple outlets to ensure adherence to Standard Operating Procedures (SOPs).
  • Conduct routine inspections for hygiene, safety, and compliance with company standards.
  • Ensure all licenses and documentation (FSSAI, Trade License, Shops & Establishments, etc.) are current and valid.
  • Track upcoming renewal dates and coordinate with upper management for timely renewals.
  • Staff Management:
  • Recruit, train, and schedule outlet teams to guarantee adequate staffing levels.
  • Provide ongoing coaching and performance evaluations to maintain high staff morale and service quality.
  • Inventory & Stock Control:
  • Review and verify daily opening and closing stock registers for each outlet.
  • Forecast inventory needs based on sales data; coordinate with the central kitchen to replenish stock.
  • Investigate and resolve any discrepancies in inventory.
  • Cold Chain & Logistics Coordination:
  • Oversee proper cold chain management to ensure ice cream tubs are kept at the correct temperature during storage and transport.
  • Prepare and send e-way bills for stock dispatches from the central kitchen to outlets.
  • Track deliveries in real time and follow up on any logistical issues.
  • Menu & Product Management (POS and Online Integration):
  • Update online and offline menus according to real-time stock availability, new product launches, and seasonal offerings.
  • Integrate and maintain menus across POS systems and online delivery platforms (e.g., Swiggy, Zomato).
  • Ensure GST details are correct and updated on all platforms.
  • Monitor menu listings for accuracy, pricing, and compliance with local regulations.
  • Troubleshoot technical issues related to POS or online platform integrations.
  • Quality Assurance & Customer Experience:
  • Conduct spot checks to ensure products meet quality standards and SOP guidelines.
  • Address customer complaints or escalations promptly; implement corrective measures to prevent recurrence.
  • Reporting & Documentation:
  • Compile daily and weekly sales reports, stock data, staff performance metrics, and menu integration logs.
  • Maintain records of cold chain logs, e-way bills, and other compliance-related documents.
  • Keep track of regulatory documentation (FSSAI, Trade License, Shops & Establishments) and report renewal needs to upper management.
  • Present summary reports to upper management, highlighting trends, challenges, and improvements.
  • Problem Resolution & Escalation:
  • Handle operational issues such as order delays, rider disputes, or system failures.
  • Escalate major concerns (e.g., critical stock shortages, customer complaints, license expirations) to senior management as needed.

Qualifications & Skills:

  • Education:
  • Bachelors degree or diploma in Business Administration, Hospitality Management, or a related field preferred.
  • Experience:
  • Minimum 2-3 years of experience in a supervisory or managerial role within retail, hospitality, or food & beverage (experience handling cold chain logistics or inventory management is a plus).
  • Experience with POS systems, online menu management, and GST compliance is highly desirable.
  • Technical Skills:
  • Proficiency in basic computer applications (MS Office, POS systems) and familiarity with generating/managing e-way bills.
  • Ability to integrate and troubleshoot online menu listings on platforms like Swiggy, Zomato, etc.
  • Understanding of GST rules, rates, and compliance procedures.
  • Knowledge of FSSAI and related food service regulations, and the ability to manage renewal processes.
  • Soft Skills:
  • Strong leadership and team management skills.
  • Excellent communication and problem-solving abilities.
  • Detail-oriented with strong organizational and multitasking skills.

Working Conditions:

  • Environment: Split between office duties (reporting, planning) and on-site outlet visits (monitoring operations, training staff).
  • Physical Requirements: May involve standing or walking for extended periods, especially during site visits.
  • Travel: Frequent travel between outlets and occasional visits to the central kitchen.
