Contract Negotiation : Lead contract negotiations with both hardware and software suppliers to secure favourable terms, including pricing, licensing agreements, warranties, and service levels.
Discounts and Cost Optimisation : Identify and negotiate discounts, volume pricing, and long-term agreements with hardware and software vendors to optimize procurement costs.
Contract Lifecycle Management : Oversee the full contract lifecycle for hardware and software, including drafting, reviewing, renewing, and ensuring compliance with terms, licenses, and service-level agreements.
Purchase Order Creation Management : Generate and manage purchase orders for hardware and software, ensuring accuracy in specifications, pricing, and delivery timelines across global offices.
Cost Tracking Budgeting : Monitor and track hardware and software procurement costs, including licensing, maintenance, and subscriptions, ensuring alignment with budgetary constraints.
Invoicing and Payment Management : Oversee accurate invoicing for hardware and software purchases, tracking payments and resolving any discrepancies or delays in billing.
Supplier Performance Evaluation : Regularly evaluate hardware and software vendors based on performance, delivery timelines, quality, and compliance with contractual obligations.
Global Procurement Operations : Manage procurement processes for hardware and software across global offices, ensuring compliance with local regulations, taxes, and currency fluctuations.
Licensing and Compliance : Ensure software licenses are properly managed, tracked, and renewed in compliance with organizational and legal requirements, mitigating risks of license overuse or expiration.
Market and Product Research : Stay informed about new hardware and software technologies, licensing models, and industry pricing trends to make strategic procurement decisions.
Cross-functional Collaboration : Work closely with IT, legal, and finance teams to ensure alignment on hardware and software procurement needs, budgetary goals, and licensing strategies.
Procurement Systems and Tools : Use procurement and contract management tools to track hardware and software orders, licenses, contracts, vendor performance, and cost-saving opportunities.
IT Tier 1 Support : Work on resolve basic IT issues, delivered via IT ticketing system covering software hardware, with assistance provided to our Mumbai site and remotely to our global offices.
IT Infrastructure : Maintain and support Mumbai office IT Infrastructure, including on-site user support and hardware management and coordinate with other IT team members on IT Projects.
IT Documentation : Review, update and create IT SOP and Knowledge Base articles.
About you:
Candidates with IT procurement and 1 st line helpdesk support experience in a fast-paced environment are likely to have the skills required to be successful in this role. We are also looking for:
Bachelor s degree in computer science, or a related field
Windows 10/11, MS Office 365, and MS Server platforms
Experience of SAP S4/Hana
SolarWinds Service Desk or similar ITSM platform
Experience of contract management and vendor engagement
Ability to evaluate, optimise and control costs
Structured document writing experience, supporting processes and instructions
Track record of customer service and experience of supporting users on-premise and remotely with supporting tools
Able to make decisions based on analysis and metrics
Proactive mindset with a commitment to delivering high-quality results under tight deadlines
Ability to work to own initiative and willingness to take on new challenges
