Job Description

Position Overview:

Asta Prive Wealth is seeking an experienced and dynamic Head of Service and Operations to lead and manage the operational functions of our Wealth Management division. This role is critical in ensuring that all internal operations and client-facing services are executed efficiently, meet the highest standards of quality, and are aligned with Asta Prive's strategic goals. As the Head of Service and Operations, you will be responsible for optimizing processes, driving innovation in client service delivery, and fostering a high-performance culture within the operations team.

Key Responsibilities:

1. Leadership and Strategy:

Lead and manage the Service and Operations team, providing clear direction and guidance to ensure operational excellence across all functions.

Develop and execute the operational strategy for the Wealth Management division, in alignment with Asta Prive's business objectives.

Collaborate with senior leadership to drive business initiatives and ensure operational processes support the overall client experience and company growth.

2. Operational Excellence:

Oversee the end-to-end operational processes, from onboarding clients to portfolio management, ensuring seamless execution and exceptional service delivery.

Continuously review and optimize internal processes, systems, and workflows to improve efficiency, reduce risk, and ensure compliance with industry standards and regulations.

Implement best practices and cutting-edge technologies to enhance operational performance and streamline operations across the division.

3 Client Service and Experience:

Ensure a client-first approach in all operational functions, working closely with Relationship Managers and other teams to deliver a superior client experience.

Develop and maintain strong relationships with clients, ensuring timely and accurate responses to client needs and requests.

Monitor service quality metrics, conduct regular client feedback reviews, and address any service delivery challenges promptly.

4. Risk and Compliance Management:

Ensure that all operations comply with regulatory and legal requirements, internal policies, and industry standards.

Manage risk mitigation efforts, ensuring that all operational activities align with risk management strategies and safeguard client assets.

Coordinate with the compliance and legal teams to stay abreast of any regulatory changes that may impact operations.

5. Team Development and Management:

Lead, mentor, and develop the Service and Operations team, fostering a culture of collaboration, innovation, and continuous improvement.

Set performance expectations, provide regular feedback, and conduct performance reviews for team members.

Identify skill gaps and manage training and development initiatives to ensure the team's competencies align with evolving business needs.

6. Technology and Innovation:

Partner with the Technology team to identify and implement new tools and platforms that enhance operational efficiency, improve client experience, and support business growth.

Drive digital transformation initiatives, including automation of manual processes, implementation of CRM systems, and leveraging data analytics for decision-making.

7. Performance Monitoring and Reporting:

Define and track key performance indicators (KPIs) for service delivery, operational efficiency, and client satisfaction.

Provide regular reports to senior management, highlighting key achievements, challenges, and areas for improvement.

Implement continuous improvement plans based on performance reviews and operational data.

Key Requirements:

- Experience: Minimum of 10 years of experience in operations, service management, or client relationship management within the wealth management or financial services industry, with at least 5 years in a senior leadership role.

- Education: A bachelor's degree in business administration, Finance, or a related field. A relevant master's degree or professional certifications (e.g., CFA, CFP, or similar) is a plus.

- Leadership: Proven track record of leading high-performing teams, developing talent, and fostering a culture of excellence and client-centric service delivery.

- Operational Expertise: Strong knowledge of wealth management operations, client service standards, and industry regulations. Experience in process optimization, risk management, and implementing operational best practices.

- Client-Focused: A deep understanding of the client experience and how operations and service can be tailored to enhance client satisfaction and retention.

- Technological Proficiency: Familiarity with wealth management software, CRM platforms, and other relevant technologies. Strong interest in leveraging technology for operational improvements.

- Problem-Solving & Decision-Making: Strong analytical and decision-making skills with the ability to drive solutions in a fast-paced and dynamic environment.

- Communication Skills: Excellent verbal and written communication skills, with the ability to interact with senior stakeholders and clients effectively.
