Associate - Receipt & GRN

This position is responsible for preparing all GRNs (Goods Receipt Notes) specifically for spare parts, creating gate passes for rejected items, and reconciling discrepancies related to bill passing, shortages, or excess materials with vendors.

Key Responsibilities

• Prepare GRNs for spare parts based on challans/invoices, ensuring zero pendency.
• Create outgoing gate passes for rejected and excess materials, ensuring no rejected material remains for more than 48 hours.
• Declare marine insurance and prepare monthly insurance reports for submission to accounts.
• Coordinate with suppliers to resolve discrepancies in bills or logistical receipts (LRs) related to spare parts.
• Forward bills and invoices to the accounts department, maintaining zero pendency.
• Assist with material unloading and inspection in the absence of receipt staff.
• Ensure adherence to safety rules, achieving zero accidents.

• Proficiency in data entry, SAP, MS Office, and material knowledge.

Operating Network

Internal Interactions:

• Collaborate with departments like Purchase, Mechanical, E&I, CPP, WHR, Process, and Civil for material receipt information and handling rejected items.
• Coordinate with the Accounts team for bill passing.

External Interactions:

• Engage with vendors, contractors, and domestic suppliers regarding rejected, excess, or shortage of materials.

Complexities

• Ensuring User Department (UD) acknowledgment for materials within 48 hours to prevent audit objections.
• Managing discrepancies and ensuring timely resolution to maintain operational efficiency.
