Job Description

Roles and Responsibilities:


As the Front Desk Receptionist at ANC (Asha Neuromodulation Clinics), Kokapet, a premier Psychiatric Clinic-cum-Neuromodulation Center, your primary responsibilities will include, but are not limited to:

  • Front Desk Management:
    • Greet and welcome patients, caregivers, and visitors in a professional and empathetic manner.
    • Answer, screen, and direct incoming calls promptly and efficiently, ensuring confidentiality.
  • Patient Coordination:
    • Schedule and manage patient appointments, follow-ups, and therapy sessions.
    • Properly coordinate with doctors, psychologists, and patients for scheduling/re-scheduling of appointments.
    • Maintain an accurate and updated calendar for clinicians and neuromodulation services.
  • Administrative Support:
    • Assist with patient registration, intake forms, and verification of required documents.
    • Manage correspondence, including emails and courier services, ensuring timely responses.
  • Customer Service:
    • Provide clear information to patients about clinic services, processes, and policies.
    • Address patient queries with compassion and ensure a smooth experience during their visit.
  • Facility Oversight:
    • Ensure the reception and waiting area are clean, organized, and welcoming.
    • Manage the housekeeping staff to ensure that the clinic (including washrooms) is kept clean and organized.
    • Monitor the availability of essential supplies (e.g., forms, brochures) in the reception area.
  • Coordination with Vendors and Service Providers:
    • Coordinate with vendors and suppliers of the clinic to ensure that all necessities are in stock.
    • Coordinate with service providers, such as electricians, plumbers, the building facility manager, and any other service provider, to address issues in a timely manner.
    • Ensure that all utility bills are paid on time.
  • Financial and Data Management:
    • Maintain accurate records of appointments, patient visits, and referrals.
    • Maintain proper records of income and expenses of the clinic.
    • Adhere to strict confidentiality guidelines in compliance with medical ethics and data privacy regulations.
  • Coordination with Staff:
    • Communicate patient needs and concerns to the appropriate team members promptly.
    • Provide administrative support to clinicians and neuromodulation specialists as needed.
  • Crisis Management:
    • Stay composed and responsive when handling patients experiencing emotional distress or emergencies, following clinic protocols.
  • General Administrative Tasks:
    • Be willing to take on additional responsibilities, including buying, sourcing, collecting, and delivering items necessary for clinic operations.
    • Assist with administrative tasks as required to support daily operations.
    • Actively participate in planning, organizing, and managing events conducted by the clinic to ensure smooth execution and coordination.

Educational Qualifications:

    • Any Undergraduate or Graduate degree in Administration, Hospitality, or a related field is preferred.

Experience:

    • 1-3 years of experience in a front desk, receptionist, or administrative role.
    • Experience in a healthcare setting is a plus.

Technical Skills:

    • Proficiency in MS Office (Word, Excel, Outlook) and basic data management tools.
    • Familiarity with scheduling and appointment management software is an advantage.

Communication Skills:

    • Strong verbal and written communication skills in English.
    • Speaking Telugu and Hindi is beneficial.
    • Polite and professional communication style for handling patient inquiries.

Interpersonal Skills:

    • Good customer service skills with the ability to create a welcoming environment.
    • Ability to work collaboratively with doctors, psychologists, and other staff members.

Organizational Skills:

    • Organized with the ability to manage multiple tasks efficiently.
    • Detail-oriented with skills to handle records, appointments, and clinic finances effectively.

Problem-Solving and Crisis Management:

    • Ability to remain calm under pressure and address distressed patients or emergencies.
    • Proactive in resolving facility issues by coordinating with vendors and service providers.

Professionalism and Ethics:

    • Maintains confidentiality and complies with data privacy and medical ethics standards.
    • Punctual, reliable, and dedicated to ensuring smooth clinic operations.

Additional Requirements:

Must have bike driving skills to run errands, collect supplies, or handle clinic-related tasks outside the premises when required.
