Job Description

Role & responsibilities :-

1. Executive Support:

  • Act as the primary point of contact for the Director.
  • Manage the Director's calendar, including meetings, events, travel, and appointments.
  • Draft, Review, and manage correspondence (emails, letters, reports).
  • Prepare and organize documents, reports, and presentations for meetings and exhibitions.
  • Handle confidential information with discretion.

2. Retail Jewellery Industry Support:

  • Assist in organizing and coordinating the Directors meetings with key clients, vendors, suppliers, and stakeholders in the jewellery industry.
  • Provide support with inventory, pricing, and product display for the jewellery collection.
  • Track industry trends and competitor activities, providing insights as required.
  • Collaborate with sales and marketing teams to ensure promotional materials and product catalogues are up to date.

3. Exhibition Management:

  • Coordinate logistics for jewellery exhibitions, including booth setup, design, and material preparation.
  • Communicate with event organizers to ensure smooth execution of exhibition-related activities.
  • Liaise with vendors for booth construction, transportation, and installation of jewellery displays.
  • Provide on-site support during exhibitions, including managing schedules and client meetings.
  • Track exhibition performance, feedback, and follow-up with potential clients.

4. Travel and Event Management:

  • Organize travel arrangements for the Director, including flights, accommodations, transportation, and itineraries for business trips and exhibitions.
  • Help plan and organize corporate events, conferences, and trade shows related to the jewellery business.

5. Administrative Support:

  • Perform administrative tasks, such as filing, managing databases, and maintaining records.
  • Process and track expenses for the Director, ensuring timely approvals and reimbursements.
  • Monitor and respond to incoming calls, emails, and requests from stakeholders on behalf of the Director.

6. Relationship Management:

  • Build and maintain positive relationships with key business contacts, clients, and partners.
  • Represent the Director in a professional and courteous manner during meetings, exhibitions, and events.

Preferred candidate profile :-

  • Bachelors degree or equivalent work experience.
  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
