Job Description

KRA for Front Office:

  • Handling Incoming Calls - Receive and respond to the incoming queries for ongoing projects and transferring the calls accordingly.
  • Meeting Arrangements - Booking conference room and meeting rooms as per staff requirements.
  • Courier Management - Keeping records for incoming and outgoing couriers and coordinating with staff for the same.
  • Cab Management - Tracking all the vehicle movement and providing cab facilities to the employees going out for local or outstation travel.
  • Travel Arrangement - Booking flight tickets for employees as requested with the help of vendor, also doing hotel reservations on behalf of them.
  • Maintaining Office Record - Keeping records for all vendor bills, site bills and reimbursement bills for all employees, coordinating with accounts department.
  • Daily management of Petty Cash - like keeping track of credit card expense with proper details and amount in excel.
  • Attendance for Outsource - Handling attendance for all Pantry boys and Drivers, coordinating with HR to process payroll and OT.
  • Employee Engagement - Coordinating with HR team for new joinees and ordering their lunch and arranging joining kit accordingly. Also, at every month end doing birthday celebrations with the help of HR and arranging cake & snacks for the staff. Making budget for the same for Head Office and other site offices.
  • Ordering Office Supplies - Newspaper, pantry items, housekeeping stuff and medicines.
  • Other Administrative Work - Like managing drivers roaster, stationery coordination between Stationery person and employees etc.

Requirements and skills:

  • Graduate in business administration, office administration or relative field
  • Proven 2-3 years work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
