Purchase Manager
Key Responsibilities:
Material Procurement:
- Handle the procurement of raw materials, excipients, packaging materials, and API for pharmaceutical formulations.
- Ensure that material requirements are met in a timely manner to support production schedules and avoid stockouts.
- Coordinate with suppliers to ensure accurate delivery timelines and order quantities.
Supplier Coordination:
- Build and maintain relationships with key suppliers, ensuring consistent product quality, timely delivery, and competitive pricing.
- Obtain quotations, compare prices, and negotiate terms with vendors to secure the best deals.
- Resolve any issues related to delays, discrepancies, or quality concerns with suppliers.
Order Management:
- Create and track purchase orders (POs) and ensure all documentation is complete and accurate.
- Monitor open orders, follow up on delivery status, and ensure timely receipt of materials.
- Communicate with the warehouse team to verify that materials are stored properly upon receipt.
Inventory & Stock Control:
- Work with the warehouse team to ensure proper inventory levels and timely replenishment of stock.
- Track and maintain an optimal level of inventory, ensuring that there are no shortages or overstock situations.
- Monitor material usage and forecast future purchasing needs based on production requirements.
Compliance & Documentation:
- Ensure all purchasing activities comply with pharmaceutical industry regulations and internal company policies.
- Maintain accurate records of purchase orders, supplier invoices, and relevant documentation.
- Assist with import/export documentation and ensure compliance with customs and regulatory standards.
Cost Management:
- Assist in identifying cost-saving opportunities and process improvements within the procurement function.
- Track and manage the purchasing budget and report any discrepancies or deviations.
- Support the negotiation of pricing and payment terms to help meet cost-efficiency targets.
Qualifications & Skills:
Education:
- Bachelor's degree in Commerce, Science, or a related field. A Master's degree or certification in Supply Chain Management would be a plus.
Experience:
- 3-12 years of experience in purchasing within the pharmaceutical formulations and/or API sector.
- In-depth knowledge of pharmaceutical materials, supplier management, and procurement processes.
- Strong understanding of regulatory requirements in the pharma industry.
- Experience with ERP systems and procurement software.
Skills:
- Strong negotiation and communication skills.
- Attention to detail and strong organizational abilities.
- Proficiency in Microsoft Office, especially Excel.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Knowledge of import/export processes and international suppliers is a plus.
