Assistant Manager - Bidding Coordination & MIS

The Bidding Coordination and MIS Specialist will oversee and streamline the bidding process, ensuring timely submission of proposals while maintaining accurate and comprehensive management information systems. This role requires a meticulous individual with strong organizational and analytical skills, who can effectively liaise between various stakeholders to ensure successful project acquisition and data-driven decision-making.

1. Tender Identification and Review:

• Monitor and identify relevant tenders and bidding opportunities.
• Analyze tender documents to determine submission requirements, feasibility, and potential risks.

2. Proposal Preparation and Submission:

• Coordinate with cross-functional teams (e.g., technical, finance, and legal) to gather inputs for proposal creation.
• Prepare and ensure all bid documents are accurate, complete, and submitted within deadlines.
• Develop and maintain a repository of past bids and templates for future reference.

3. Stakeholder Management:

• Act as the primary point of contact between internal teams and external clients during the bidding process.
• Respond promptly to client queries and requests for clarifications related to proposals.

4. Compliance and Quality Assurance:

• Ensure bids meet all client specifications, company standards, and legal or regulatory requirements.
• Conduct post-bid reviews to analyze success factors and areas of improvement.

Management Information System (MIS):

1. Data Management:

• Collect, organize, and maintain accurate records of all bidding activities, project performance metrics, and related data.
• Develop and update dashboards and reports for internal stakeholders.

2. Analytics and Reporting:

• Generate regular and ad-hoc reports to track key performance indicators (KPIs), such as bid win rates, project costs, and ROI.
• Use data insights to recommend process improvements and enhance operational efficiency.

3. System Administration:

• Manage and optimize MIS tools or software used for tracking bids, contracts, and project data.
• Ensure data integrity, security, and compliance with company policies.

4. Process Optimization:

• Identify areas for process automation and implement solutions to enhance data management and workflow efficiency.
• Bachelors degree in Business Administration, Engineering, Information Technology, or a related field.
• Proven experience in bidding coordination, tender management, or a similar role.
• Proficiency in MIS tools, Excel, and other data management platforms.
• Strong organizational and multitasking skills with attention to detail.
• Excellent communication and interpersonal skills to manage cross-functional teams.

Skills Required:

• Knowledge of tendering processes and documentation.
• Advanced proficiency in MS Office (Excel, Word, PowerPoint) and relevant MIS tools.
• Analytical mindset with experience in data reporting and interpretation.
