Key skills for the job
1. Identifying and reviewing tender documents, scope of works as per organization ineterest. 2. Checking feasibility of qualifications, financial criteria and raise queries with clients for Preparing & applying tender documents on various portals like e-tenders, e-procurement, Ariba & GeM etc. 3. Keeping track of EMD, Bank Guarantee/Security Deposit etc. 4. Maintaining of Action Plans for proper start-up of projects. 5. Establish and maintain supplier relationships by serving as single point of contact for contractual matters. 6. Upon receiving of Tender/Projects: - • Check pre bid qualification. • Send EMD request to BSPL finance for submission of same in bidding. • Details of manpower to be shared with HR for costing as per current compliances. • Details of Assets, Machinery, Equipments etc. shared with Procurement Deptt. For costing. • After getting input from above deptts. Prepare a competitive proposal for submission to client and submit the same on Portal. 7. Post Qualifying in Tender/Projects: - • Participate in Reverse Auction with our best/discounted prices. • Prepare for Negotiation Meetings and propose further best prices to Client after receiving request for the same. 8. Post Award of Contract activities like: - • Acceptance of LOA • Authorization Letter authorizing BSPL Officials to interact/coordinate, correspondence for signing of passes and bills etc. • Forwarding draft of Bank Guarantee to Finance deptt. For further necessary action. • Signing of agreement as per draft given in the tender document • Confirming the start date to the client/finance team with a copy to the Ops team at site. • EMD Refund: Upon submission of SD & PBG refund/release, EMD to be obtained from the client. 9. Nearing Completion of Contract: • Near to the maturity/completion of the contract, Contracts team to write to send a request/willingness to extend the contract to the client with %age of increase as applicable in the tender. 10. Post Contract Completion Action: • To take release of BG/SD deposited to the client, due procedure to be followed with inputs/documents duly provided to client. Bid Executive Duties & Responsibilities 11. Manage record keeping for all contract related correspondence and documentation: • Complete a check sheet for all the details of contract starting from Tender No., Bank Guarantee, Security Deposit, contract value, period of contract, escalation/descalation, extensions, no. of manpower, labour license etc. to be maintained in the contract file.
