Job Description:

The Sales Coordinator will play a crucial role in supporting the sales team by providing administrative assistance, coordinating sales processes, and ensuring smooth communication between clients, the sales team, and the manufacturing department. The ideal candidate will be detail-oriented, proactive, and able to handle multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Sales Support: Assist the sales team in managing daily operations, including preparing quotes, proposals, and sales orders customer sales orders or customers.
  • Client Communication: Serve as a point of contact for existing and prospective clients, providing excellent customer service and handling inquiries regarding product offerings, pricing, and order status.
  • Order Processing: Manage the order process from initial customer request through to delivery, ensuring all details are accurately entered into the system and communicated with production and logistics teams.
  • Documentation & Reporting: Maintain and update customer records, sales reports, and order histories. Generate reports to track sales performance, lead times, and customer feedback.
  • Coordination & Scheduling: Coordinate between the sales team, production, and logistics departments to ensure timely delivery of products. Schedule meetings, track orders, and ensure deadlines are met.
  • Inventory Management: Monitor inventory levels and communicate with the production team to ensure product availability for customer orders.
  • Market Research: Assist in market research and customer analysis to identify new sales opportunities and trends within the cosmetic industry.
  • Sales Meetings: Prepare materials and agendas for sales meetings and presentations. Take meeting minutes and follow up on action items.

Qualifications:

  • Bachelors degree in Business, Marketing, or a related field (preferred).
  • 2+ years of experience in sales coordination, customer service, or a similar administrative role, preferably in the cosmetic or manufacturing industry.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience with CRM software and order management systems (preferred).
  • Ability to work independently and in a team-oriented environment.
  • Positive, can-do attitude with a strong customer service orientation.
  • Knowledge of the cosmetic industry, including regulatory requirements, product formulations, and trends, is a plus.
