Purchase Executive/ Officer

Role & responsibilities

• Raise Purchase Requisitions (PR) and prepare Bill of Quantities (BOQ) for multiple product requirements.
• Process orders based on requests from the sales team and obtain approval from the Sales Head before placing Purchase Orders (PO).
• Coordinate with the logistics team to ensure timely material delivery and manage internal office purchases.
• Follow up with vendors for material dispatch, coordinate with accounts and vendors for cheque processing and invoicing.
• Raise tax invoices after vendor billing.
• Send delivery initiation emails to customers and confirm delivery post-dispatch.
• Follow up on payments via email and phone, ensuring timely collections.
• Send monthly invoices to customers.
• Prepare and send quotations to customers.
• Notify the technical team about delivery confirmation for installation purposes.
• Manage vendor and customer portals, ensuring smooth operations and documentation.

• Strong coordination and follow-up skills.
• Proficiency in MS Office (Excel, Word, Outlook).
• Excellent communication and negotiation skills.
• Ability to manage multiple tasks and work under deadlines.
