Position Summary:


The Payroll Senior Associate is accountable for the payroll processing and local administration activities for North America entities. This role is responsible to ensure payroll is processed according to schedule and complies with Federal, local tax and statutory requirements. This role requires close collaboration with Country HR to ensure any legal, fiscal, and regulatory changes or implementations are managed accordingly. Associate must have extensive experience in USA payroll with excellent functional skills.


Key Duties and Responsibilities:

  • Reviews the calculation of gross & net pay amounts to ensure accuracy (e.g., salary, timesheets, overtime, shift payments, sales commissions, bonuses, deferred compensation, benefits (401k/pre-tax/post-tax), tax withholdings, deductions, payroll liabilities, etc.).
  • Reviews payroll data, production records, and individual attendance records within the HRIS and payroll system and corrects errors to ensure the accuracy of payroll payments.
  • Reviews the reconciliation of payroll records (payments, deductions, benefits & taxes) and processes the organization's payroll accurately.
  • Ensures the balance of payroll runs and compliance with related requirements, including minimum wage, local tax rates, and related federal and state regulations.
  • Respond and manage employee inquiries and troubleshooting issues related to payroll that require policy interpretation.
  • Coordinates and processes any irregular payments (e.g., One-time payments, bonus payments, Executive deferred Compensation plans etc.) while ensuring compliance and correct tax deductions.
  • Perform periodic audits of payroll data to ensure accuracy of Employee pay information.
  • Identify, analyze and improve the existing process by recommending and implementing solutions in an innovative and logical manner.
  • Maintain the day-to-day relationship with the internal, external payroll partners.
  • Performs methodological review of payroll data based on established procedures to ensure payrolls are processed timely and accurately.
  • Should be able to work with the business, cross-functional collaboration and provide the appropriate solutions.
  • Work as SMEs to develop and maintain business process policies and procedures.
  • Preparing and filing tax reports, communicating with 3rd party payroll and tax reporting vendors.
  • Experience of running payroll in Workday Platform will be an added advantage.
  • Proficiently communicate payroll accounting related transactional information to those requiring and authorized to have the information.
  • Partner with 3rd party vendor regarding unemployment, garnishment etc., notices to verify employment / pay data / deduction data and perform follow-up as necessary.
  • Research and interpret federal, state, and local regulatory requirements to assure firm's compliance and resolve tax, withholding and garnishment related issues.
  • Provide quarterly assistance to Payroll manager during Sarbanes-Oxley Payroll Testing Reporting assist in providing responses to auditing, regulatory or other inquiries via reports/analysis as needed.
  • Performs as a back-up for Payroll team member duties as needed.
  • Provide customer service and support to employees in collaboration with Payroll Manager develop, document, analyze and evaluate existing payroll policies, procedures, and business processes.
  • Assist Payroll Manger in drafting, proposing, and implementing changes and / or quality control measures leading to best practice payroll operations, coordinate with Human Resources/Payroll team to ensure internal control environment.
  • Assist payroll manager generating payroll reports and payroll analysis.

Required Experience


  • 8+ Years of hands-on payroll experience with 6+ years in US payroll hands-on experience is a must.
  • At least 5 years of payroll experience with a proven facility in data entry, customer service and problem resolution.
  • Knowledge of Federal, Social Security and Multi-State taxation is a must.
  • Thorough understanding of payroll systems and processes, including knowledge of payroll tax laws, direct deposits, benefits, and deductions.
  • Sound and comprehensive communication and diplomacy skills are required in order to exchange complex information.
  • Proficiency in various computer software, spreadsheets, and databases.
  • Integrity and professionalism to handle sensitive and confidential information.
  • Good knowledge on MS excel and its features
