HOD - Materials and COP

Key Responsibilities: COP Materials ( Ranipet)

1. Order Management:

• Process customer orders efficiently and accurately, from order receipt to delivery.
• Review customer orders for completeness, ensuring all product specifications, quantities, and shipping details are correct.
• Coordinate with sales, production, and logistics teams to confirm order availability and delivery dates.
• Manage and prioritize high-volume order flows during peak periods.

2. Customer Service:

• Act as a point of contact for customers, handling inquiries related to orders, shipments, and product specifications.
• Resolve any issues related to orders, including delays, discrepancies, or quality concerns.
• Provide timely updates to customers regarding the status of their orders.

3. Inventory and Materials Coordination:

• Ensure material availability for customer orders, working closely with inventory control and procurement teams.
• Track material stock levels, anticipate shortages, and collaborate with the supply chain to ensure uninterrupted order fulfillment.

4. Documentation and Compliance:

• Prepare and maintain accurate order documentation, including order confirmation, shipping instructions, and invoices.
• Ensure compliance with industry regulations and company policies, including safety and environmental standards.

5. Logistics and Delivery Coordination:

• Coordinate with logistics teams to ensure timely and cost-effective delivery.
• Track shipment progress and handle any delivery issues that may arise.

6. Reporting and Analysis:

• Monitor order processing metrics and report on key performance indicators (KPIs) such as order lead time, customer satisfaction, and delivery accuracy.
• Participate in process improvement initiatives to streamline order processing procedures.

7. Cross-functional Collaboration:

• Work closely with the sales, production, procurement, and finance teams to support smooth order fulfillment.
• Assist in the preparation of quotes and support the sales team with technical material or product information.

Skills & Qualifications:

1. Educational Requirements:

• Bachelors degree in Business Administration, Supply Chain Management, Chemistry, Chemical Engineering, or a related field.
• Additional certifications in Supply Chain Management (e.g., APICS, Six Sigma) are a plus.

2. Experience:

• Minimum of 12-15 years of experience in customer order processing, logistics, or supply chain management in the chemical, petrochemical, or manufacturing industry with chemical.
• Strong understanding of order processing systems, inventory management, and logistics operations.
• Familiarity with SAP, Oracle, or similar enterprise resource planning (ERP) systems.

3. Technical Skills:

• Knowledge of chemical product specifications, handling, and safety requirements.
• Strong proficiency in Microsoft Excel, Word, and PowerPoint.
• Ability to interpret and manage complex product orders, specifications, and customer requirements.

4. Soft Skills:

• Excellent communication skills, both written and verbal, with the ability to interact effectively with customers and cross-functional teams.
• Strong problem-solving skills with the ability to handle customer complaints and resolve order-related issues.
• Detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.
• Ability to adapt to changing priorities and demands in a dynamic industry.
