Role & responsibilities

Real Estate & Project Management

• Real estate sourcing for Tata AIG Branches across country as per defined guidelines and within the defined budgets keeping business requirement and employee safety in mind
• Designing and developing offices as per business need and standard design of the company to get similar look and feel across all offices with safety guidelines in place. Maintain Capex budget within limits and deliver best in class offices infrastructure.
• Managing workspace efficiently and increase/reduce workspace in line with business requirement on need basis to build efficiency
• Refurbishment of existing offices after a defined interval to maintain hygiene and comfort in the offices
• Regularize all agreements on expiry with minimum increase in rentals

Facility Management & HSE

• Maintaining facilities of all branches across country and provide all necessary facilities support to business units.
• Regular upkeep and maintenance of all equipments to ensure 0 Break-down
• Covering all critical equipments under AMC contract to get timely resolution and preventive maintenance to ensure Zero break-down or failure
• Timely payments of all utility bills and vendor payouts to smoothly run operations
• Timely renewal of all service agreements
• Maintain Cost Per Workstation for all branches
• 100% adherence to safety guidelines and timely review of safety preparedness at all locations through self-assessments and audits. Regular update to all Senior Management about Safety standards, concerns and updates thru Safety council meetings.
• Create awareness among employees through various Newsletters, Training Sessions etc.

Travel Management

• Travel Management for all employees across company within defined budget
• Regular review of all travel expense and update respective department heads about their spend on travel cost against allotted budget
• Regularly update travel services with implementation of new services, better vendors, new technology etc.
• Timely payment to all travel vendors to ensure smooth travel support and services
• 100% recovery of Air-Lines GST with proper reconciliation of bills with airlines

Expense Management

• Managing entire facility expense within defined budget and regularly reviewing cost with all team members.
• Review monthly expense and provisioning data to ensure facilities expense within monthly allocated budget
• Budget vs actual expense review and take corrective measures for any overspend against budget and sensitize respective branch/team on regular basis
• Maintain Cost Per Workstation report on Monthly basis and share with all team
• Prepare annual budget for Facilities department and finalize it with Finance Team

Process Engineering & Automation

• Review all existing process and suggest necessary correction to decongest the process and improve efficiency.
• Conceptualize automation model for existing process and convert facilities process into automation
• Monitor existing automations and regularly update them to build further efficiency and modifying them as per change in organization structure and processes

Preferred candidate profile

• Candidate from Banking, Insurance or any financial industry background
• Graduate or Post Graduate, experience in BFSI Admin/facilities management
• Experience of managing Admin, Facilities, Building Management, Liaisoning with Government Departments (Electricity, Municipal, Water, Police etc.,)
• Experience of working with various B.U Heads and good at relationship building
• Should be ready to travel so as to do branch visits and audits
• Good Knowledge in Excel and PowerPoint
• Language : English, Telugu & Hindi
