Store Executive

Position Title: Store Executive

Job Overview

The Store Executive is responsible for maintaining and managing the daily store records, including GRNs (Goods Receipt Notes), SRNs (Store Receipt Notes), Inward and Outward records, as well as managing store inventories. The role requires proficiency in Microsoft Excel and Word for record-keeping and reporting purposes.

Key Responsibilities

1. Inventory Management
• Maintain daily inventory records for all stock items in the store.
• Ensure accurate tracking of stock levels, and perform regular inventory checks.
• Record all inward and outward movements of stock in the store.
• Ensure accurate and timely processing of GRNs and SRNs.
2. Record Keeping
• Maintain and update store records, including GRNs, SRNs, inward and outward records in both Excel and MS Word formats.
• Ensure that all records are up-to-date, accurate, and stored properly for easy access.
• Prepare and maintain a daily store inventory report.
• Create and manage files for all records related to the store operations.
3. Goods Receipt and Issue
• Handle the receiving and inspection of goods and materials.
• Verify and match purchase orders and delivery notes against the received goods.
• Prepare GRNs upon receipt of goods, ensuring that all goods are recorded accurately.
• Process outgoing stock efficiently and ensure that all relevant documents (SRNs, delivery notes, etc.) are completed.
4. Stock Handling and Monitoring
• Monitor stock levels and report any discrepancies or shortages to the Store Manager.
• Ensure proper storage of items and materials to maintain their condition and prevent damage.
• Report any damaged or expired items to the Store Manager for further action.
5. Report Preparation
• Prepare daily, weekly, and monthly stock reports for management.
• Generate GRNs, SRNs, inward and outward transaction reports in MS Word and Excel as required by the department.
• Assist in preparing audit reports and other documentation for management reviews.
6. Coordination and Communication
• Coordinate with various departments for stock requisitions and supplies.
• Communicate with suppliers, vendors, and transporters to ensure timely delivery of goods.
• Assist in managing the return of goods to vendors if required.
7. Compliance and Documentation
• Ensure that all stock movements are properly documented with supporting forms such as GRNs and SRNs.
• Ensure compliance with company policies and procedures for handling inventory.
• Assist with stock audits and physical verification when required.

Skills and Qualifications

• Education: A bachelor's degree or diploma in Supply Chain Management, Logistics, or related field.
• Experience: Prior experience in inventory or store management (1-2 years preferred).
• Technical Skills:
• Proficiency in MS Excel and MS Word (must be able to create, edit, and format documents and spreadsheets).
• Basic knowledge of inventory management systems is a plus.
• Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
• Attention to Detail: Accuracy in record-keeping and stock tracking is essential.
• Communication Skills: Good verbal and written communication skills.
