Job Description

Role & Responsibilities:

  • Front Desk Management: Greet visitors, clients, and employees in a professional, friendly, and welcoming manner. Ensure proper registration and direct visitors to the relevant departments.
  • Phone & Email Handling: Answer and route incoming calls, take messages, and direct inquiries to the appropriate staff members. Handle email correspondence and maintain communication channels efficiently.
  • Appointment Scheduling: Manage calendars and schedules for executives, ensuring all meetings and appointments are properly coordinated and logged.
  • Administrative Support: Assist with general office administrative duties including filing, data entry, handling documents, and maintaining office supplies.
  • Client Relations: Assist clients by providing information about services, guiding them through processes, and addressing any queries they may have, ensuring a high level of customer service.
  • Office Coordination: Ensure the reception area is tidy, organized, and stocked with necessary materials such as brochures, business cards, and forms. Maintain an efficient workflow by coordinating with other departments as required.
  • Security & Compliance: Monitor visitor access and ensure the security of the office premises. Adhere to all company policies regarding confidentiality and data protection.
  • Event Support: Assist in organizing and coordinating company events, meetings, and conferences when required, including preparing meeting rooms and handling refreshments.

Preferred Candidate Profile:

  • Education: A minimum of a high school diploma or equivalent; further education in office management or administration is a plus.
  • Experience: 1-3 years of experience in a receptionist or administrative support role, preferably within a corporate or industrial setting.
  • Skills:
    • Excellent communication and interpersonal skills.
    • Strong organizational abilities with a keen eye for detail.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment (printers etc.).
    • Ability to manage multiple tasks efficiently while maintaining a professional demeanor.
    • Strong customer service orientation with the ability to handle difficult situations with diplomacy.

    • Strong time-management skills and the ability to prioritize tasks.
