Senior Stores Officer

Roles & Responsibilities
Inventory Management:
Oversee the entire process of receiving, inspecting, and verifying incoming materials and equipment, ensuring alignment with purchase orders and delivery documents.
Efficiently organize and categorize materials in designated storage locations with accurate labelling and identification.
Maintain precise and up-to-date inventory records, utilizing manual methods or advanced digital systems (e.g., ERP).
Conduct regular cycle counts and physical audits to ensure inventory accuracy and integrity.
Proactively monitor stock levels, initiating timely replenishment orders as needed.
Manage and track the movement of materials to and from the university, ensuring seamless operations.
Store Operations:
Lead and manage daily operations of the store, supervising and guiding store staff to ensure optimal performance.
Ensure safe and efficient handling of materials by adhering to established safety protocols and best practices.
Maintain a clean, organized, and secure store environment that meets all operational standards.
Implement and enforce store policies and procedures, continuously improving processes through techniques like 5S, ABC analysis, and others.
Accurately maintain records of RGP, NRGP, and gate entries, ensuring compliance with university policies.
Collaborate closely with the Purchase and Finance departments to manage supplier relationships and ensure timely payments.
Logistics Coordination:

Coordinate with the Purchase team and suppliers to guarantee timely delivery and dispatch of materials, resolving any issues or discrepancies that arise.
Actively monitor shipments, ensuring on-time delivery and addressing any logistical challenges.
Reporting:
Prepare and present regular management information system (MIS) reports, providing insights through inventory summaries and detailed analyses.
Keep stakeholders informed with updates on stock levels, material movement, and overall store performance.
Team Leadership:
Mentor and train store staff, fostering a positive and productive work environment that encourages growth and efficiency.
Evaluate staff performance, offering constructive feedback to support professional development.
Ensure adherence to university policies and strict compliance with safety standards at all times.
Required Skills:
Exceptional organizational and time management skills, with a keen attention to detail.
Strong communication and interpersonal abilities to effectively collaborate with team members and stakeholders.
Proficiency in inventory management systems (ERP or similar) and the ability to adapt to new technologies.
A self-motivated individual who can work both independently and as part of a team.
Strong problem-solving and decision-making capabilities to handle complex challenges.
Knowledge and practical experience in inventory management techniques, including 5S, ABC analysis, JIT, FIFO & LIFO, EOQ, and safety stock management.
Qualification & Experience:
Bachelors degree in any stream.
At least 7-8 years of experience in Managing Store operations, ideally within the manufacturing sector.
