Executive Assistant To Managing Director

Job Description: We are seeking an Executive Assistant (EA) with exceptional analytical and technological capabilities to support our CEO. The ideal candidate will be adept at using advanced tools like Tableau for data visualization, possess strong business and legal intelligence, and be capable of independently driving initiatives and managing complex projects. This role requires a proactive, strategic thinker who can manage both high-level analysis and day-to-day operations efficiently.

Key Responsibilities:

1. Management Information Systems: Develop and maintain systems to provide critical information, utilizing Microsoft Excel and Tableau to enhance decision-making processes.
2. Annual Operating Plans: Document and track the companys strategic vision for the year, including new products, market expansion, budgeting, and marketing plans.
3. Monthly Reviews and Target Setting: Conduct monthly performance reviews, set targets, and ensure alignment with company goals.
4. Documentation: Manage all incoming and outgoing official communications, support legal documentation, and ensure compliance with regulatory requirements.
5. Follow-up Mechanisms: Regularly follow up with company leaders and department heads on tasks and meetings to ensure timely execution.
6. Legal Document Vetting: Oversee the creation and modification of legal documents, instructing external consultants to ensure accuracy and relevance to business needs.
7. Audit and Control: Perform audits of business transactions to prevent misuse and ensure financial integrity.
8. Special Projects: Manage and assess the viability of special projects, including risk analysis and SWOT assessments.
9. Customer Feedback: Systematically gather and analyze customer feedback to improve service quality and responsiveness.
10. Financial Decision Support: Assist in financial decision-making processes, including analysis of cost-benefit scenarios and incentive distribution.
11. Business and Legal Intelligence: EA Should have robust business and legal expertise to assess risks, coordinate with legal counsel, and manage related tasks efficiently

Skills

• Proven experience as an Executive Assistant, particularly in high-growth environments.
• Strong analytical skills with proficiency in Tableau and advanced MS Office.
• Excellent organizational, time management, and project management skills.
• Knowledge of business intelligence, legal frameworks, and corporate governance.
• Bachelors degree in Business Administration, Law, Finance, or related field; Master’s degree or professional certification (e.g., PA diploma) is a plus.
• Demonstrated ability to operate independently and navigate complex scenarios.
