We are seeking a proactive and enthusiastic individual to join our team, as an Executive Assistant (EA) to the Head of India Sales. This entry-level role is perfect for someone looking to kickstart their career in administrative support. The successful candidate will provide high-level administrative assistance, ensuring smooth communication, and supporting the coordination of various activities within the team. This role is integral to the efficiency and effectiveness of India Sales team.
Job Responsibilities
Handle incoming and outgoing mail communications.
Plan and manage the daily schedule and meetings for the manager.
Prepare meeting agendas, record meeting minutes, and action items.
Draft various correspondence, reports, presentations, and other documents as required.
Coordinate project activities, deadlines, deliverables, etc of the team members.
Manage and maintain various databases, records, and confidential information.
Ensure timely and effective communication flow within the India Sales Team and with external partners.
Build and maintain positive relationships with internal stakeholders, Sales Team members, and external clients.
Assist in the planning, execution, and monitoring of various projects and initiatives.
Should be able to assist in travel arrangements, events, and other important discussions.
Suggest and implement process improvements to optimize the workflow.
Maintain the confidentiality of sensitive information and adhere to data protection and security policies.
Requirements
Certain prior experience as an Executive Assistant, or in a similar administrative role is a plus, but not mandatory.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills, with keen attention to detail.
Proficient in using productivity tools and software, such as MS Office Suite, Outlook and communication platforms.
Ability to handle confidential information with discretion and professionalism.
Strong problem-solving skills and the ability to work we'll under pressure.
Proactive attitude, with a focus on providing exceptional support to the Head of India Sales Team.
The individual should have the capacity to report to the Gurgaon office.
