SAFRAN MRO unit in Hyderabad is looking for an experienced and highly motivated Administrative Professional / Executive Assistant to support Leadership Team, provide team support, and create positive employee experiences.
You will operate in a variety of capacities by partnering with a senior team and demonstrating excellence in administrative functions. This role demands a high level of organizational expertise, confidentiality, and professionalism. You will be responsible for Executive-level interfaces and across all levels within Safran, with customers, vendors, and suppliers. The ideal candidate should be able to maintain a calm and focused persona, accommodate different work styles, demonstrate sound and consistent judgment, make timely decisions in relatively complex situations, and set priorities among multiple projects. The candidate will also be expected to have great attention to detail, be able to proactively anticipate needs and shift priorities quickly, be self-motivated, self-aware, and have a sense of responsibility.
Responsibilities
Core priorities include but are not limited to:
Can quickly learn and align with operations based on knowledge of management teams priorities and operating styles, is proactive, agile, and flexible, ensures preparation of meeting setting, and can manage ambiguous situations with high degree of accuracy and attention to detail.
Prepare for and coordinate executive meetings, including board meetings, and handling agendas. Supports planning, coordination, and support for town halls, events, celebrations, offsites, and conferences. Addresses any preparatory setbacks and escalates to management team as needed.
Provides support to Expats, coordination of logistics, home search, and other essential relocation services, registration with local authorities (FRRO) and Income Tax department. Annual renewals of FRRO, visa, home lease as needed. Continuously support expats during their assignment in the country.
Organize and maintain documents, assist with travel/logistics arrangements using third party tools (e.g., visas, tickets, accommodations, and transportation), handle expense reports, and manage confidential materials as needed.
Work closely with Business Head and Operations Manager in finalizing travel, and accommodation plans for any visits from Executive Leaders and guests. During the visit, ensuring that local transportation, and lunch arrangements are organized and ready to manage any unexpected changes. Taking full accountability of the Executive and guests from arrival to departure, and everything in between to ensure a productive visit.
