IP Docketing Specialist

Job Purpose -

Provide various levels of docketing services to a diverse group of customers. Provide Docketing Services to clients, either directly in a clients IP Management Software or in RWS Internal IP Management Software.

Key Responsibilities

• Review all patent correspondence received, index and catalogue the correspondence for further processing.
• Interpret documents and identify deadlines.
• Maintain accurate database by creating new matter specific records by entering case-specific data and deadlines into the docketing system.
• Monitor deadlines and prepare periodic reports to ensure all deadlines can be addressed in a timely manner. This can include daily reports for hard deadlines taking time zone differences into consideration.
• Assist with the preparation, review, and clearance of final deadlines.
• Process all requests from clients with regards to case specific changes made to the client portfolio.
• Understand client’s portfolio and perform regular reviews to identify discrepancies.
• Track and maintain records of billable time.
• Create and dispatch invoices to clients for work performed.
• Stay up to date on regulations.
• Ensure the highest level of care when working with client data.
• All other duties required to complete role to the highest standard.
• Ensure compliance with policies and procedures and take immediate action by reporting to your supervisor where risk is identified.

Skills & Experience

• A minimum of three (3) years of experience as an IP Patent Specialist or Docketing Specialist within an IP law firm or an organization in a similar function required.
• Advanced understanding of laws, regulations, and guidelines on a global level.
• Full understanding of patent prosecution procedures, terminology, and deadlines.
• Familiar with IP Management Software including but not limited to Anaqua, FoundationIP, Memotech, PATTSY, AppColl etc.
• Familiar with Patent Office databases including but not limited to WIPO, EPO, USPTO (PAIR).
• ePCT and other filing experience is a plus.
• Exceptional attention to detail.
• Excellent communication skills.
• Ability to prioritize and multi-task in a timely manner in a fast paced, high volume and due date driven environment.
• Understanding urgency and escalation procedures.
• Ability to learn multiple docketing system.
