Job Description

Client is an industry body catering to one of the fastest growing sectors , building an organization to cater to the clientele in providing shared capabilities and strategic resources.

They are looking for an EA to the director's office who would drive the strategic initiatives engaging with the external senior stake holders across client companies

Executive Assistant

1. Job Details:


Position Title: Executive assistant

Reports to: Director

Division: Director's office .

Location : Hybrid for the first few months - to be based from Ahmedabad once the office is set up

2. Areas Of Responsibility:


Key Roles & Responsibilities, Performance Tracking & Reporting:

- Understand the expectations of senior leadership teams in terms of key metrics and business processes to review, their frequency and cadence

- Shadow the Director in all the important meetings and close loop the actionables.

- Being a start -up, the incumbent would need to be flexible and wear multiple hats, which is also a great learning experience.

- Interaction with Chairman / C suite offices of large Pharma companies to follow up on open items, including scheduling of important meetings.

- Interact with Institutions and other Govt./Private organizations as required by the Director.

- Anchor workshops and programs for PAGE as well as those where PAGE is a sponsor and/or participant. This includes liaisioning with multiple stakeholders.

- Preparing presentations and reports based on Director's advice.

- Take up independant projects for PAGE as required by the Director.

- Operate - alternating between higher level and operational levels - ensuring execution of plans in consultation and with the guidance of the Director

- Anchor all actionables as needed by Director including admin and logistics of the project - as needed during the setup and commissioning phase

- Work with the director in anchoring the talent acquisition and team building

3. Governance & Review Cadence:

- Define and follow a structured review cadence (weekly) with functional teams to discuss performance gaps and identify actions to drive improvement

- Ensure regular update meetings with senior leadership to update on business performance across key metrics

- Drive follow through of actions identified during reviews, flag escalation / deviations to senior management

- Team Structure ; Report directly to the director

4. Qualifications & Experience:


Minimum Experience:

- 2-5 years of relevant work experience , having handled a PMO / CEO 's office

- Leadership position in transformation office / Chairman's office roles in other large companies / conglomerates

Minimum Qualifications:

- MBA from Tier 1 or Tier 2 Management institutes; Engineering from a top-tier university / CA with good quality experience

5. Key Capabilities:


- Ability to analyze and synthesize complex data using one or more of modern BI & visualization tools

- Distill complex results or processes into simple, clear visualizations/dashboards

- Strong project/team management skills including running tight governance cadence with business teams

- Managing teams /working directly with senior stakeholders

- Experience in both operations (factory / manufacturing) and to GTM (Go To Market - ie sales, marketing) during past stints

- Ability to communicate effectively (oral and written) with a range of stakeholders - C suite to Junior Manager levels.

- Expertise in working with MS office tools like PPT and Excel

6. Experience:


- Experience in functions like Chairman's Office, Transformation Office, Centre of Excellence (at times, similar profiles are also within "Strategy functions")

Target companies:

- Large co's with stable Chairman's Office teams: (both at group level and within individual co's in the group)

- Pharmacy co's /Other similar sized co's with central teams

Looking for a candidate who:

- Is a self starter and can drive reviews, governance and follow-up on action independently

- Has some past exposure in both sales + manufacturing / ops , will be a bonus

- Strong team player having the ability to work seamlessly across multiple stakeholders.
