Responsibilities:
Strategic Office Management:
- Develop and implement strategic plans to optimize office operations and improve efficiency.
- Lead the development and implementation of office policies and procedures, ensuring compliance with company standards and regulations.
- Analyze office workflows and identify areas for improvement, implementing changes to enhance productivity.
- Oversee facilities management, ensuring a safe, comfortable, and well-maintained work environment.
Budget and Vendor Management:
- Develop and manage the annual office budget, identifying cost-saving opportunities and ensuring fiscal responsibility.
- Lead vendor negotiations and manage contracts, ensuring cost-effectiveness and quality service.
- Establish and maintain strong relationships with vendors and service providers.
Team Leadership and Development:
- Supervise, mentor, and develop administrative staff, fostering a positive and collaborative work environment.
- Conduct performance evaluations and provide feedback to team members.
- Delegate tasks and responsibilities effectively, ensuring efficient workflow.
Administrative Support and Coordination:
- Provide high-level administrative support to senior management, including scheduling, travel arrangements, and report preparation.
- Coordinate and manage office events, meetings, and conferences.
- Ensure the accurate and timely processing of administrative documents and records.
Compliance and Risk Management:
- Ensure compliance with all relevant regulations and company policies.
- Develop and implement risk management strategies to mitigate potential issues.
- Maintain accurate and organized records, ensuring data integrity and confidentiality.
Process Improvement:
- Lead and implement office policy changes.
- Develop and improve office workflow procedures.
- Implement new technology to improve office efficiency.
Qualifications:
- Experience: 6-8 years of progressive experience in administrative management or a related field.
- Education: Bachelor's degree in business administration, management, or a related field.
