We are looking for a highly organized and detail-oriented Exhibition Coordinator to join our team. The ideal candidate will be responsible for planning, coordinating, and executing company s internal events like work shops, large meetings, functions with customers, vendors and VIPs, external events like exhibitions, trade shows, events, workshops from start to finish. This role requires excellent project management skills, the ability to multitask, and a keen eye for detail. The Exhibition Manager will work closely with various departments, vendors, and clients to ensure that all aspects of the exhibition are executed flawlessly. Responsibilities include managing budgets, timelines, and logistics, as well as coordinating with marketing and sales teams to maximize the impact of the exhibition. The successful candidate will have a strong background in event planning, excellent communication skills, and the ability to work under pressure. Key Responsibilities:
Ability to identify and navigate all the Ortho-specific events / exhibitions across the globe.
Analyse the attendees and potential target for each event.
Confirm enrolment and registration for the event.
Efficient planning for the travel of event attendees.
Manage budgets and ensure cost-effective solutions.
Develop and maintain timelines and schedules.
Coordinate with vendors, suppliers, and contractors.
Work closely with marketing and sales teams to promote the exhibition.
Oversee the setup of exhibition booths.
Ensure compliance with all safety and regulatory requirements.
Handle all logistics, including shipping and transportation.
Manage on-site staff and volunteers.
Conduct post-event evaluations and provide feedback.
Negotiate contracts and agreements with vendors.
Create and distribute promotional materials.
Coordinate with graphic designers for booth design and layout.
Monitor and report on exhibition performance metrics.
Ensure a high level of customer satisfaction.
Maintain accurate records and documentation.
Stay updated on industry trends and best practices.
Collaborate with other departments to achieve organizational goals.
Plant travel arrangement for team and invitees to event.
Organize workshops and logistics of events.
Organize internal events organized from time to time
Requirement:
Bachelor s degree in Event Management, Marketing, or related field experience.
Minimum of 2-3 years of experience in event planning or exhibition coordination.
Strong project management skills.
Fluent in English & excellent communication and interpersonal skills.
Ability to multitask and work under pressure.
Experience with budget management and cost control.
Ability to travel as required.
Strong negotiation skills.
Customer-focused mindset.
Ability to handle multiple projects simultaneously*
